Job Description:


The Senior Executive Assistant will support priority administrative operations to ensure the efficient functioning of the OCIO. This role involves processing and tracking various administrative tasks and assisting with HR-related actions to support the OCIO's operational needs.  

What You Will Do:


  • Process and track smart card/badge requests and assist with office setup for new staff (10 FTEs and 40 Contractors monthly). 
  • Assemble, process, and track documents for HR pre-consultations, recruitment packages, retirements, and other HR-related actions. 
  • Update and maintain staffing lists and organizational charts. 
  • Assist with performance management activities, including tracking and monitoring completion of PMAP and ERM requirements and timelines. 
  • Conduct data entry, process documents, and track nominations for employee cash, time off, and OCOO awards. 
  • Prepare and process training orders. 
  • Assist with purchase card requests for supplies, equipment, and other small procurements. 

Requirements

What We Will Need:


  • Minimum of 3 years of experience in administrative operations support. 
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). 
  • Experience with HR processes and documentation. 
  • Strong organizational and detail-oriented skills. 
  • Excellent communication and interpersonal skills. 
  • Ability to handle multiple tasks and prioritize effectively. 
  • Experience in a telework environment is a plus.
