Executive Assistant to the Chief Revenue Officer

(ESSENCE, Girls’ United, Naturallycurly.com), AFROPUNK and ESSENCE Studios.   As an Executive Assistant to the CRO, you will provide administrative support directly to CRO and play a critical role in supporting the sales and marketing team by leading and overseeing key projects in collaboration with the CRO.

You will manage business-related tasks such as creating reports, internal and client facing presentations, organizing travel,  coordinating and attending internal and external meetings,  calendar management and other administrative tasks. The Executive Assistant serves as the primary point of contact for internal and external resources. The ideal person for the job will be a proactive problem solver with exceptional communication skills and meticulous attention to detail.

Hybrid Role- Three Days in Office 


Core Responsibilities:Business Priorities:  

  • Join the CRO in meetings to take notes, drive follow-ups, and act as an accountability partner.
  • Shepherd deliverables and drive individuals to meet the CRO’s style preferences and quality expectations.
  • Use sound judgment and persuasiveness to drive initiatives forward, determining proper escalation paths and courses of action or resolving competing needs as needed.
  • Build and maintain positive relationships with internal and external stakeholders, including clients, partners, and industry professionals across multiple time zones
  • Build a roster of contact information for key partners and maintain a timely stream of communication regarding sensitive information and developments
  • Aid in keeping the sales funnel full and moving by securing client meetings
  • Help ensure positive experiences for clients at our events

Administrative:

  • Independently manage all of the CRO’s administrative needs (calendar, travel, meetings, expenses, office needs, meeting room preparation, documentation handling, internal and external event planning, note taking, team onboarding, etc.).
  • Approve expense reports on behalf of the CRO, ensuring those functions remain within budget.
  • Arrange employee & client gifts, social media capture at company and client related events and posting and assistance with speaking engagement preparation.
  • While the CRO is on business travel, Executive Assistant will demonstrate a flexible work schedule, both remotely and at the office, to address any issues or last-minute changes that may come up remotely.

Meeting Preparation & Steering: 

  • Ensure the CRO is well-prepared for meetings.
  • Screen, summarize, and organize information into cohesive briefings; prepare presentation materials; and facilitate debriefs to determine appropriate follow-ups and the best course of action.

Time Management and Optimization  

  • Act as a gatekeeper and gateway to the CRO.
  • Manage the CRO’s time, delegate on lower-tier priorities, and prioritize commitments to scale and operate at maximum efficiency.

Project Management

  • Track project progress, milestones, and deliverables; ensure deadlines are met.
  • Utilize project management methodologies to plan, execute, and monitor projects from initiation through completion.
  • Collaborate with cross-functional teams to gather requirements, define project scopes, and allocate resources.
  • Conduct research, compile data, and prepare documents for review and presentation by executives.
  • Handle confidential information with discretion and professionalism.

Qualifications

  • Experience and preference for working with senior executives in fast-paced organizations.
  • Understanding the nature of confidential information and maintaining discretion
  • Proficient knowledge of Microsoft Office, including Word for documentation formatting and Excel for budget and data organization/manipulation and PowerPoint for deck and presentation creation
  • Experience with Concur for travel and expenses
  • Strong prioritization skills, will approach the job with a great sense of urgency, able to juggle multiple priorities and seamlessly shift gears as needed
  • Highly organized individual who enjoys remaining several steps ahead of their executive at all times, including times when the executive is offsite or traveling.
  • Resourceful individual who possesses the ability to operate under ambiguity and make decisions that reflect the CRO’s thought processes and the company’s best interests
  • Strong communicator who embraces what it means to represent a partnership-oriented C-Level executive and department, and will be able to navigate and steer difficult conversations with finesse.
  • Strong interpersonal skills and high emotional intelligence, able to work with dynamic individuals and employees at all levels, adapting to their various work styles and personalities
  • Exceptional writing skills, able to quickly draft and edit thoughtful communications, tailored specifically for the situation or intended audience
  • Strong-minded individual who appreciates receiving feedback, wants to grow, and doesn’t shy away from being challenged
