About the Position
We’re looking for a master multitasker with excellent communication skills and an upbeat, self-starter attitude. You’ll partner closely with executives in implementing efficient administrative processes to support rapid growth. This role relies heavily on the ability to be highly organized and responsive, with the willingness to meet each challenge directly. At Hiya, Executive Assistants are passionate about the integral role they play as a crucial partner to executives.
What You’ll Do
- Handling and prioritizing complex calendars, including scheduling meetings and resolving scheduling conflicts
- Coordinate domestic & international travel and logistics, meetings, and events
- Determining methods and best practices for new projects or assignments
- Identifying needs and gaps within the organization, and partnering closely with the team to suggest solutions/project resources and research vendors, programs, etc.
- Running cross-functional projects, programs, and team-building events within the Executive’s organization
- Work on special projects that require proficiency using Google Workspace apps, and other tools used by the executive organization
- End-to-end management of all internal and external event logistics including budget help, planning of events, onsite execution (dinner, shipping, etc.), event flow and helping the Marketing team manage follow-up activities post-event
- Hosted potential partners, investors, consultants, and customers
- Travel 5-10% per year to events all over the United States
Qualities that will make you successful:
- Experience directly supporting 1 or more executives
- Excellent written and verbal communication skills
- Ability to work independently and as a member of cross-functional teams
- Exceptional organizational and time management skills, with strong attention to detail and a solid ability to take ownership of multiple projects
- Demonstrated ability to handle confidential information with discretion and emotional intelligence
- Ability to exercise strong business judgment, meet deadlines, and balance multiple requests
- Strong interpersonal skills and ability to quickly build rapport with internal and external partners
- Excellent problem-solving skills, with an ability to recognize opportunities and develop ways of addressing them

More Details
The base salary for this role is $45,000-$105,000. When determining compensation, a number of factors will be considered: skills, experience, job scope, location, and competitive compensation market data.
