About the position:
Stellar Health’s People Team is looking for an Office Coordinator to support our hybrid team. Reporting to our People Ops Manager, this in-person role will be based out of our New York, Union Square headquarters. We have a hybrid workforce of amazing employees, and as our Office Coordinator, your main responsibility will be to make sure our physical and remote office spaces are as welcoming as possible.This is a highly collaborative role, where you will be required to work with many different stakeholders across the business, while managing multiple priorities and projects. Great for someone looking to start their career in a People/Administration role, or within the health-tech space in general!
What you’ll do:
While your role will be broad, and likely will change as Stellar grows, we expect your work to fall in three categories:
Day-to-Day Office Management
- Maintaining office cleanliness and organization. This will include things like managing light cleaning, tracking inventory, coordinating repairs/maintenance, and generally making sure our space is a great space for employees!
- Relationship management of office vendors, including the coordination of contract renewals.
- Managing an office events calendar, in partnership with key internal stakeholders.
- Coordinating access to IT systems/technology throughout the office, partnering with teams as needed here.
- Keeping tabs on how to make office processes more efficient and helpful.
General Reception
- Being the friendly person that Stellar visitors first interact with when they visit HQ.
- Ensuring our reception area is clean, organized, and welcoming at all times
- Supporting deliveries and vendor appointments.
Employee Experience Tasks
- Supporting all Employee Events, in conjunction with the rest of the People Team and the Office of the CEO.
- Managing, triaging, responding to, and actioning all office related tickets and requests.
- Helping maintain and update documentation related office policies and processes.
- Working with our Diversity, Equity, and Inclusion Steering Committee on various events, stepping in to help plan and manage where needed.
- Contributing ideas for events and updates that would make employee experience even better.
As Office Coordinator you should have:
- Combination of work experience, internships, and education that indicate success in this type of role. Ideally, this experience would include supporting a fast-paced office environment.
- Experience with MS Office and the Google Suite is required.
- Proficiency with MS Excel or Google Sheets (data visualizations, VLookups, Pivot Tables, etc.) is a nice-to-have.
- Experience managing and tracking budgets is a nice-to-have.
- Strong written and verbal communication skills.
- A service-oriented attitude, and the patience to ‘roll with the punches’
Pay:
This is an on-site position that requires presence in our Union Square Office Monday - Friday 9:00am - 5:00pm EST. The hourly rate is $19 - $21 and will be eligible for overtime. Where a new hire falls within this range will be based on their individual skills and experience. Stellar's bands are designed to allow for individual compensation growth within the role. As such, new hires typically start at the lower end of the range. Stellar rewards performance and outcomes - should you join the company, you will have the opportunity to grow your compensation over time.Stellar reserves the right to change our compensation bands at any time.
