About the Job


We are currently looking for a knowledgeable Accounts Payable Admin who is motivated to help us streamline and improve our current accounts payable process. In this position, you will perform full-cycle accounts payable responsibilities for 12+ companies. We are searching for a skilled individual to process, track, and record payments in an accurate, efficient, and timely manner.We need a team player who is willing to “do what it takes,” is flexible, and can manage concurrent tasks/projects. This is a full-time permanent position.

Responsibilities and Duties:


  • Perform full cycle accounts payable functions from receipt of invoices to payment, including coding invoices, matching purchase orders, and obtaining approvals.
  • Set-up new vendors, ensuring all KYC documents are received & applicable agreements are executed.
  • Assist with the implementation of new AP automation software.  
  • Prepare bi-monthly batch check runs, wire transfers, and ACH transactions.
  • Process employee expense reports, including verification of receipts and coding.
  • Responsible for monthly accounts payable journal entries including prepaid transactions, fixed assets, leases, amortization & use tax.
  • Assist with developing and implementing accounts payable policies, procedures, and SOX controls are adhered to including travel and related expenses, vendor approval, and invoice processing.
  • Responsible for IRS 1099 compliance and reporting.
  • Manage vendor relations and build effective partnerships.
  • Assist audit team with gathering supporting documentation for all audits.
  • Research and resolve problems associated with the processing of invoices and purchase orders, including communicating the resolution of discrepancies to appropriate persons.

Qualifications and Skills:


  • Strong Microsoft Word, Excel & Outlook skills.
  • Experience with MAS/Sage 100 is a plus.
  • Familiarity with transactions in foreign currencies.
  • Maintains appropriate levels of confidentiality in all levels of documentation, communication, and planning.
  • Self-starter with strong organizational skills and the ability to work independently in a fast-paced, changing environment, manage moderately complex projects and multiple tasks with strong attention to detail and analytical skills.
  • Excellent oral and written communication skills.
  • Team player with a positive attitude, who is reliable and trustworthy.
  • Able to multitask and work well in a deadline-driven environment.
  • Experience with international companies will be an added advantage.

Education, Experience, & Licensing Requirements:


  • Bachelor's degree in Finance, Accounting, or a related field is a plus - must be a high school graduate or equivalent.
  • 3+ years’ experience in accounting or a related field.
  • Strong Microsoft Word, Excel & Outlook skills.
  • Understand intercompany transactions.

A reasonable, good-faith estimate of the hourly pay for this position is $36-$46 per hour. This estimate is dependent on a variety of factors.
