Position Overview: We are seeking a proactive and detail-oriented Project and Event Liaison to join our team. This hybrid role involves attending various events on behalf of the director, gathering leads, scheduling meetings with key stakeholders, and assisting with project management tasks. The ideal candidate will have excellent organizational skills, a professional demeanor, and the ability to build and maintain relationships with key stakeholders.
Key Responsibilities:
- Event Attendance and Lead Generation:
- Represent the director at various events, including conferences, trade shows, and industry meetings.
- Network with attendees, gather leads, and identify potential opportunities for the organization.
- Collect and organize contact information and relevant details from key stakeholders.
- Provide detailed reports on event outcomes, including potential leads and actionable insights.
- Meeting Coordination:
- Schedule and coordinate meetings between the director and key stakeholders.
- Prepare agendas, briefings, and necessary documentation for meetings.
- Ensure all logistical aspects of meetings are handled efficiently, including venue arrangements, travel plans, and accommodations.
- Project Assistance:
- Assist in the planning, execution, and completion of projects under the guidance of project managers.
- Help develop project plans, timelines, and budgets.
- Track project progress and update project management tools.
- Prepare and organize project documentation, including meeting minutes, reports, and presentations.
- Coordinate communication between project team members and stakeholders.
- Communication and Coordination:
- Serve as a point of contact for event-related inquiries and support.
- Facilitate effective communication between team members, stakeholders, and vendors.
- Maintain accurate and up-to-date records for events and projects.
- Assist in the preparation of marketing and promotional materials for events.
- Evaluation and Improvement:
- Collect and analyze feedback from events and meetings.
- Assist in conducting evaluations to assess success and identify areas for improvement.
- Support the implementation of changes and improvements for future events and meetings based on evaluation findings.
Qualifications:
- Bachelor’s degree in Business Administration, Event Management, Project Management, or a related field.
- Minimum of 2 years of experience in event coordination, lead generation, and project support.
- Strong organizational and multitasking skills.
- Excellent communication and interpersonal abilities.
- Professional demeanor with strong networking skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and project management software (e.g., Asana, Trello).
- Ability to work independently and as part of a team.

- Flexibility to work evenings, weekends, and travel frequently for events.
Preferred Qualifications:
- Certification in Event Planning or Project Management (CAPM, CMP, etc.).
