We offer flexible on-site and remote work schedules.Digital Infuzion has created and is constantly improving a comprehensive scientific data management, sharing, and analysis platform we use to deliver Data Coordination Services (DCS) to large multi-Center research networks. We are looking for a passionate individual to fill the position of Meeting Coordinator for a new DCS program at the National Institutes of Health. In this role, you will use your organizational and inter-personal talents to manage the scheduling and coordination of meeting, working groups, and conferences between the different components of a large, geographically distributed research network.
Who you are
The ideal candidate is an individual with prior experience planning meetings and conferences in an environment where attendees have busy schedules.
- You are a natural organizer, task manager, impediment remover, action-oriented process improver
- You simplify the complex and find the optimal compromise when coordinating activities around busy and sometime conflicting schedules
- You are comfortable using modern scheduling software, including Outlook and Google Calendar.
- You are familiar with software and processes to create and manage meeting polls (Outlook FindTime, Doodle, Etc.)
- You are comfortable using remote meeting software such as Teams and Zoom
- You have a passion for event planning, both in-person and remote
Core Responsibilities
- Responsible for planning and coordination of remote meetings, potentially as large as 100 attendees
- Support our team’s travel logistics, including transportation, lodging, and remote work equipment and services
- For in-person conferences and meetings we organize, work as part of a larger team to support conference room facilities, audio/visual and tech support including set-up, tear down, and close out processes
- Liaise with contractors, speakers, and stakeholders throughout the event planning process
- Provide input on design of conference or event as appropriate to best meet conference/event goals and create an optimal conference experience for audience and stakeholders
- Provide regular reporting on event progress to internal and external stakeholders
- Participate in post-event evaluations to inform future events
Requirements
- Education or professional experience in event planning or communication
- Taking and presenting meeting minutes and agendas
- Excellent verbal and written communication skills
Preferred Qualifications
- Experience working for the Data Coordinating Center for a large scientific consortium
- Government Meeting Professional Certification (CGMP)
- Experience working with technical and PhD/MD-level professionals
- Experience working at or with NIH or HHS
- Experience with the NCATS CTSA Program
