Rippl is looking for a self-directed, well-organized Executive Assistant to provide primary support for our Chief Executive Officer as well as several key executives including our Chief Operating Officer and Chief Medical Officer. This is a great opportunity to establish working relationships with an executive team and contribute to the overall efficiency and impact of Rippl. The Executive Assistant is responsible for managing schedules, communications and tasks for key executives and performs office management duties for Rippl HQ.
The ideal candidate will be adaptable, proactive, and passionate about contributing to our mission of improving dementia care.
Responsibilities
- Coordinate and manage complex calendars, scheduling meetings, appointments, and travel arrangements for key executives. Anticipate needs and prioritize tasks to ensure smooth daily operations.
- Arrange travel for executives, including booking flights, accommodations, transportation, and creating detailed itineraries. Ensure all travel is cost-effective and efficient.
- Prepare meeting agendas, compile necessary materials, and assist with presentation development. Take meeting minutes, track action items, and ensure follow-up on key deliverables.
- Write and edit email and prepares communications and presentations on the CEO’s behalf
- Organize and prepare expense reports
- Manage the leadership team group calendar, including making appointments and prioritizing the most sensitive matters
- Organize meetings, including scheduling, sending reminders, and organizing catering when necessary; welcome visitors and direct them to the appropriate meeting space
- Manage Rippl HQ and other assets
- Perform office tasks including maintaining records, ordering supplies, mailing collateral & swag, and performing basic bookkeeping
- Perform additional duties as assigned
Qualifications
- Lives in or near Seattle, WA; can host meetings or manage tasks in physical office
- Bachelor's degree in Business Administration or equivalent experience required
- 5+ years of experience in an Executive Assistant, Office Manager, or similar role, preferably in a start-up or healthcare environment
- Excellent verbal and written communication skills
- Excellent organizational skills and attention to detail
- Access to high-speed, reliable internet and a secure, private workspace conducive to confidentiality required
- Excellent time management skills with a proven ability to meet deadlines
- Ability to function well in a high-paced and at times stressful environment
- Strong problem-solving skills with the ability to anticipate issues and implement solutions proactively
- Knowledge of office administration, clerical procedures, and recordkeeping systems
- Proficient in Google Suite and Microsoft Office Suite or similar software with the ability to learn new or updated software
- A self-starter who takes initiative and is self-directed
- Able to balance multiple priorities effectively
- Able to work independently with minimal oversight

- Able to work in person in Seattle (Eastlake) Rippl HQ 2-3 days a week and to support key on-site meetings

The pay range(s) below are provided in compliance with state specific laws. Pay ranges may be different in other locations.
