UltraViolet Cyber is headquartered in McLean, Virginia, with global offices across the U.S. and in India. This mid-level Administrative Services Assistant for the Office of Cyber Security position provides a wide variety of professional and confidential administrative support as well as data entry to our client's Information Technology (IT) Cyber Security (JB) group within the IT (J) organization. This position will directly support the Chief Information Security Officer (CISO) in addition to interfacing with Executive Managers, customers and various internal staff. Candidate must be a US Citizen to apply. This position requires all applicants to pass a Federal Government Background Investigation.The position requires 1-2 days per week onsite in Portland, OR, 6 days per month.Responsibilities:•Provide a wide variety of confidential administrative/clerical tasks for the managers and staff for the assigned organization, managers and support staff. •When onsite, greet and screen visitors; address questions and business involving established policy, take messages, set appointments and/or refer visitors to other BPA personnel as appropriate. •Answer and screen telephone calls; forward questions and matters to appropriate BPA personnel as needed, following up to verify a timely response. •Create draft, edit, and proof documents, correspondence, research, and presentations using Word, Excel, PowerPoint, and Adobe Acrobat. •Build, maintain and post Excel spreadsheets and PowerPoint presentations to SharePoint sites. •Proof, review, and when applicable, draft, correspondence and documents prepared for manager signature and validate conformance of the established administrative policies and regulations, confirm proper coordination and timely compliance with assigned action. •Attend meetings, record meeting minutes as requested, transcribe and disseminate as needed. •Process and screen incoming and outgoing correspondence. •Update and maintain desk reference manual for processes and procedures. •Proactively coordinate the executives daily Outlook calendar and schedules with full responsibility for scheduling and prioritizing •Assist BPA manager in a variety of personnel and other actions for BFTE and CFTE as assigned. •Arrange travel (domestic, invitational and foreign), such as airline arrangements, hotel accommodations, and rental car and shuttle reservations, for staff as needed.
Coordinate with managers and staff to coordinate Time & Attendance per established procedures. •Provide overall administrative support to staff members by acting as the liaison with HCM, IT, SLMO, Workflow Connection, Security, Safety, Motor Pool, Facilities / Space Management and administrative services groups to process, coordinate, request and track as assigned. •Maintain the organizational SharePoint site including updating changes and adding new content. •May coordinate or assist with organizational and BPA events such as: presentations, retirements, project or employee recognition celebrations, Cyber Security Awareness Month and Combined Federal Campaign (CFC) events.•SharePoint tasks: Site administration; Creation of SharePoint pages; Content Development; Processing and work flow charts; and File Management.•Provide guidance and support on the requirements of Interconnection Security Agreements (ISA) between federal to federal and federal to commercial interconnected systems.•Maintain tracking for Authority to Operate (ATO) and Risk Determination (RD).
What You Have:
- US Citizenship is required as a Government Clearance will be performed
- Experience as an Executive Assistant, or Administrative Assistant supporting C-Level staff
- Experience working on SharePoint sites; updating changes, adding new content, workflow charts, etc.
- Expertise managing travel arrangements
- Experience with Microsoft Excel and PowerPoint presentations
- Experience with tracking ATOs and ISAs is desired
- Experience supporting government related entities is a desired

$60,000 - $79,999 a yearUltraViolet Cyber maintains broad salary ranges for its roles in order to account for variations in knowledge, skills, experience, market conditions and locations, as well as reflect our company's differing products, services, industries and lines of business.
