This role is based in our Dublin office. Remote candidates will not be considered.


Telnyx is seeking a highly motivated and organized Operations Assistant to join our team in Dublin. This maternity cover role involves supporting our dynamic team across EMEA and the USA. We are looking for a mature, professional individual who can handle challenging situations with grace and tact, paired with a strong sense of urgency and initiative. Key Responsibilities


Administrative and Operational Support


  • Provide day-to-day administrative and operational support for Telnyx offices, ensuring smooth and efficient operations.
  • Manage operational logistics, including receiving, distributing, shipping, and ordering supplies.
  • Optimize and manage storage and supply organization to maintain a well-organized office environment.

Office and Event Management


  • Oversee and manage office catering, supplies, snacks, and beverages inventory, ensuring that all items are well-stocked and readily available to support a comfortable and productive work environment.
  • Coordinate and set up office spaces for events, meetings, and day-to-day operations, including moving desks and arranging furniture as required.
  • Plan and execute office events, from logistics and vendor coordination to setup and teardown, ensuring a seamless experience for all attendees.

Calendar and Communication Management


  • Actively maintain the calendar and daily schedule, effectively fielding and prioritizing requests.
  • Handle emails and communications, liaising with both internal and external parties with a high level of professionalism and diplomacy.

Meeting Coordination


  • Organize and oversee executive board meetings and local team meetings, including logistics, invites, agenda preparation, and catering.
  • Confidently manage meeting materials such as slide decks, meeting notes, and action items, ensuring all tasks are completed on time.

Confidentiality and Collaboration


  • Ensure and maintain the confidentiality of all sensitive communications and documents.
  • Collaborate effectively with all operational teams to improve and expedite cross-team communication and processes.
  • Foster positive and effective working relationships with all members of the Telnyx team.

Qualifications


  • Proven experience in an administrative or operations role, preferably in a fast-paced environment.
  • Excellent organizational and multitasking skills, with the ability to manage multiple priorities simultaneously.
  • Strong communication skills, both written and verbal, with a keen attention to detail.
  • Ability to handle confidential information with discretion and professionalism.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and other relevant software.
  • A proactive, can-do attitude with the ability to work independently and as part of a team.
  • Comfortable with physical tasks as needed to support office setup and logistics.

  • Location: Dublin Office, with interactions across EMEA and USA teams.
