 The Coordinator will assist in our efforts to improve our use of HR technology and build consistency in our internal practices to support our colleagues across the firm.This position will operate in a hybrid work environment, working at least 3 days per week in the office (Philadelphia, PA).

OVERVIEW:


The Human Resources Coordinator supports the daily functions of the Human Resources (HR) department and serves as an initial point of contact for HR inquiries. Reporting to the HR Business Partner, the Coordinator supports the entire team and provides administrative support in all areas, including HR Administration, Talent Acquisition, Talent Management, Benefits, Payroll, Compliance, and Employee Relations.

RESPONSIBILITIES:


  • Serves as an initial point of contact for questions on a variety of HR topics, policies, and procedures, referring complex and/or sensitive matters to the appropriate team member.
  • Maintains thorough and accurate employee records in our HR Information System (ADP), ensuring timely processing of new hires and all employee changes. Works closely with Payroll and Benefits to ensure accuracy of key details.
  • Prepares and distributes internal employee communications. 
  • Maintains HR intranet and posted documents to ensure current and relevant information is easily accessible for all employees.
  • Organizes and supports coordination of internal meetings (such as HR team meetings, open enrollment, and new hire orientation) as necessary.
  • Supports talent acquisition with the onboarding process and serves as the point of contact for new hires. This includes running background checks, assigning new hire paperwork, sending pre-hire communications, and completing I-9 verification. 
  • Maintains compliance with federal, state, and local employment laws and regulations and recommended best practices; reviews policies and practices to maintain compliance. 
  • Ensures required labor law information is posted in all offices and conducts annual audits.
  • Actively engages in department-specific and firm-wide initiatives to expand capabilities, create solutions to unmet business needs, improve client experience, and develop more efficient processes.
  • Contributes to the advancement of team, office, and business capabilities.

REQUIRED QUALIFICATIONS:


  • Minimum of an Associate’s degree required.
  • 2+ years of related administrative experience or at least one internship in human resources.
  • 2+ years strong technical skills including proficiency with Microsoft Office products (Outlook, Word, PowerPoint, Excel, MS365).

PREFERRED QUALIFICATIONS:


  • Bachelor’s degree in Human Resources, Business Administration, or a related field.
  • Experience using HR systems; prior experience with ADP strongly preferred.
  • Excellent verbal and written communication skills.
  • Strong attention to detail and experience professionally handling confidential information.
  • Strong organizational skills, with the proven ability to prioritize tasks and meet deadlines.
