The ideal candidate will be adept at handling administrative tasks, coordinating schedules, and communicating effectively with both internal teams and external clients.

This role is crucial in ensuring smooth operations within our leasing department and contributing to our overall business success. The Leasing Coordinator job duties include marketing collaboration and technical assistance and support. Familiarity with LinkedIn, Outlook, PowerPoint, Excel & Word is a must.The Leasing Coordinator will operate in a team-oriented, fast-paced, entrepreneurial, and high-performance environment, reporting to the Managing Directors of Leasing Strategy. Duties include: 

  • Data Entry and Reporting: Input leasing data into databases, including Leasing CRM and Deal Pipeline System and generate reports as required. Maintain accurate records and update information regularly.
  • Leasing Materials and CRM: 
  • Neighborhood overviews and pitches up-to-date and organized
  • CRM management and portfolio review material coordination 
  • Calendar Management: Coordinate and manage the Managaing Director and Senior Director calendar, scheduling appointments, meetings, and conference calls.
  • Marketing Material Coordination: 
  • Coordinate marketing materials for meetings and tours 
  • Run PlacerAi reports 
  • Manage leasing related eblasts
  • Event Support: liaison for event management, RSVP/Guest list tracking, leasing materials and scheduling meetings during conferences. 
  • Support Projects: Assist in special projects related to leasing initiatives, including research, data analysis, and presentation preparation.
  • Gifts/Thank you notes: following meetings, events and during the Holidays 
  • Travel Coordination: Arrange travel logistics, including flight bookings, hotel accommodations, and itinerary planning.
  • Meeting Support: Prepare meeting agendas, take minutes, and distribute materials as needed. Ensure meeting rooms are set up and equipped with necessary amenities.
  • Ad Hoc Tasks: Provide additional administrative support to the leasing team and leasing events as needed, demonstrating flexibility and a willingness to contribute to team goals.
  • Broker License renewal paperwork

Requirements

  • Proven experience as an administrative assistant or similar role, preferably in real estate or property management
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and familiarity with CRM software
  • Strong organizational skills with the ability to prioritize tasks and manage time effectively
  • Excellent verbal and written communication skills, with a keen attention to detail
  • Ability to handle confidential information and maintain discretion
  • Bachelor’s degree preferred but not required
