Position Summary


The Lead Client Care Coordinator's main objective is to provide excellent customer service to all who visit our office. As the Lead Client Care Coordinator, your duties will include tasks, such as answering phone calls, data entry, etc. The Lead Client Care Coordinator will be a part of a team that focuses on client care, customer service, and a well-organized, high-functioning standard of organization at the Front Desk.  This position requires you to be an excellent multi-tasker who remains calm under pressure.  As a Lead Client Care Coordinator, you will support the Southwest Center's mission of providing affirming and inclusive services to promote well-being and advance health equity for diverse communities and all those seeking compassionate care - especially people of color, LGBTQIA2S+ and Queer individuals, and those affected by HIV.   

What your day will look like at Southwest Center:


Responsibilities include, but are not limited to:

  • You will verify patient registration information entered in the kiosk. 
  • You will complete data entry of new and updated agency paperwork packets that have been completed by clients.
  • You will be scheduling appointments for clients.
  • You will check-in clients and visitors for appointments and meetings.
  • You will confirm appointments for providers.
  • You will verify insurance coverage for services.
  • You will be collecting co-pay and/or payments for service. 
  • You will distribute security badges for students, volunteers, and visitors.
  • You will answer incoming calls and manage office voicemail box.
  • You will manage inbound fax folder and distribute documents appropriately.
  • You will scan documents into EMR system.
  • You will manage information that is entered into kiosk and route it to the correct patient folders.
  • You will process incoming referrals.
  • You will scrub patient charts daily to ensure sliding fee scale eligibility information is correct. 
  • You will assist in training new Client Care Coordinators; ensure annual and bi-annual training is completed.
  • You will complete, send out, and document medical records requests.
  • You will work with the Clinic Operations Manager to create, review, update, and implement office process and policies. 
  • You will act as the first point of contact for Client Care Coordinators when the Clinic Operations Manager is out of the office or not available.

Requirements

Who we're looking for:


  • You've earned a high school diploma or completed your GED.
  • You have 2-3 years of Front Office/Customer Service Experience.
  • You have demonstrated cultural competency to professionally and respectfully serve the LGBTQIAS+ communities.
  • You have the ability to multi-task, focus, and meet deadlines in a fast-paced environment.
  • You have the ability to maintain professional, respectful behavior and communication at all times.
  • All agency employees must be able to work effectively in a mission-driven agency whose clients and staff exhibit significant diversity with respect to race, ethnicity, sex, gender identity, sexual orientation, socio-economic status, nationality, and religion.

  • You have experience working in the medical/behavioral health fields and/or working with individuals with HIV/AIDS.
  • You have experience in working in eClinicalWorks. 
  • You are bilingual in Spanish and English.

Environmental Factors, Physical Requirements, and Compliance


  • Work primarily in a climate-controlled environment with minimal safety/health hazard potential. 
  • Office environment, exposure to computer screens for lengthy periods of time. 
  • The position requires extensive use of computers using a standard computer keyboard. 
  • This position may require evening and occasional weekend work. 
  • While performing the duties of this job, the employee is regularly required to walk, sit, stand; use hands, talk, and hear. 
  • The employee is occasionally required to reach with hands and arms. 
  • Specific vision abilities required by this job include close vision, distance vision, and ability to adjust focus. 
  • Currently have, or be able to obtain within 90 days of employment, a valid Fingerprint Clearance Card
  • Currently have, or are able to obtain within 7 days of employment, a clear TB test
  • Currently have, or are able to obtain within 7 days of employment, a current flu vaccination
  • Currently have, or are able to initiate within 7 days of employment, a Hepatitis-B primary vaccination series
  • Currently have, or are able to obtain within 14 days of employment, a CPR certification
