Contracts/billing duties and responsibilities:
  • Draft, redline and distribute commercial proposals to new and existing customers.
  • Manage new lease process including sales inquiries, proposals, tank in/out, new customer requirement forms, etc.
  • Perform audits on new and existing customer contracts to ensure proper implementation.
  • Review and prepare special services invoices as they are processed and stock accounting invoices at month end.
  • Assist in maintaining Billing Procedures Manual by writing, updating and testing various billing processes.
  • Organize and maintain contract files and related records.
  • Maintain customers’ FEIN and 637 permit files and input into JDE.
  • Performs the daily cash reconciliation and application of cash receipts to the outstanding account receivables.
  • Update existing and/or enter new contract briefs.
  • Review and prepare administrative rebill invoices as they are processed.
  • Monitor, verify and invoice customer utility usage (Gas, Electric, Steam, Nitrogen) for monthly billing.
  • Manage the aging invoices report and customer delinquencies by communicating directly with customers to resolve any payment issues.
  • Work closely with the Accounting department to reconcile settlement issues.
  • Follow JSOX procedures and maintain adequate records for audit purposes.
  • Billing of monthly railcar lease track and direct movements.
  • Performs duties to back up the Sr. Contract Administrator as required.
  • Administrative duties and responsibilities:

  • Prepare weekly 805 and monthly 815 Department of Energy report.
  • Manage customer self-service requests.
  • Formalize quarterly escalation letters and distribute to customers.
  • Assist Customer Service Manager in obtaining approval for lighterings and issuing letter agreement to customer.
  • Assist in drafting, reviewing, redlining and distributing customer notices.
  • Maintain Customer contact distributions.
  • Generate contract related data and reports from JDE.
  • Provide administrative support to Sales and Marketing department, including conference registrations, document reviews, customer mailings, etc.
  • Interact and collaborate with various internal departments and external customers.
  • Assist in scheduling and coordinating customer outings (i.e. golf outings, annual customer outing, as required).
  • Perform and/or assist with various projects, tasks and responsibilities as needed.
  • Other responsibilities as assigned by the Contract Administration Supervisor and VP of Marketing.
  • Skills & Requirements:

  • High school diploma or equivalent.
  • Business degree preferred.
  • Minimum of three years administrative or contract related experience. 
  • Effective verbal and written communication skills. 
  • Strong attention to detail.
  • Well-organized and excellent problem solving abilities.
  • Effective at meeting deadlines.
  • Proficiency in Microsoft Office software such as Outlook, Word, Excel, PowerPoint, Access, etc.

    Life at Intercontinental Terminals Company

    ITC was founded on February 24, 1972, with its purpose to construct, operate, maintain, and grow Mitsui & Company (U.S.A.) Inc. terminal assets. The Terminal broke ground after taking title to 11 acres on December 1, 1971 located on the inlet of Tucker Bayou next to Rohm and Haas. Simultaneously, with this purchase, ITC concluded a long-term lease with Union Equity Cooperative Exchange for an existing dock with deepwater that was contiguous to the 11 acres. In 1974, a dock which the facility was leasing from Union Equity became available for sale. Included in this purchase was an existing warehouse built over the dock that was used to store bagged rice for export. Mitsui purchased a 50% interest in the dock, storage warehouse, and deepwater berth which increased the size of the facility by an additional 18 acres. Within a year, another opportunity was presented when Rollins Environmental Services offered to sell their interest in a dock and 135 acres of land. This property was south of Tidal Road and was not contiguous to the existing 18 acres. ITC successfully acquired the 135 acres from Rollins, but eventually resold 80 of these acres back to Rollins. By 1976, with dock ownership and the newly acquired acreage, ITC constructed a key installation for Exxon ChemicalCompany.
