Our Events Team manages tier 1 corporate marketing events (in-person, virtual, and hybrid) for Fortune 500 clients and is looking for an Event Specialist to provide solid foundational support for event execution.
- The person in this role will work with and support internal Event Mangers by planning, executing, and managing event website builds and lifespans, tracking and reporting event registration metrics, and occasionally assisting with event logistics as needed.
- The Event Specialist will manage and be the primary user of the team's several event management software tools (Cvent, RegOnline, internal meeting management system, etc.) and may also help with scheduling of side meetings at certain events, if needed (the Event Specialist will be cross trained to serve as a back-up resource for Executive Side Meeting and Executive Briefing scheduling).
- The Event Specialist position requires an individual who is very proficient in Microsoft Outlook/calendaring/meeting scheduling, etc. This person also needs to be VERY comfortable using Microsoft Excel and Teams in addition to Outlook. The qualified candidate is at ease with technology in general and is able to ramp up quickly on new desktop and online systems and tools.
- The ability to set, track, and manage to deadlines at an individual and project level is critical and the Event Specialist must have a go-getter, figure-it-out personality that supports steady navigation of often fast-paced, high-volume workloads.
- Running errands and organizing inventory are both core functions of this role, so the candidate must have a working, reliable vehicle, and be able to lift up to 25 lbs. with or without accommodation.
- This is a hybrid work position with work time happening both in office and remotely. Event experience isn't necessarily required for this role, in fact, this role is a good opportunity for an organized and motivated individual who would like to transition from an EA/Admin position to expand their skill set. Key Responsibilities:
System Management: Oversee and optimize event registration systems to ensure a smooth attendee experience.Tool Support: Provide support for event management tools, including troubleshooting and user training.Event Build-Out: Collaborate with the team to design and implement event layouts and experiences.Executive Scheduling: Manage tools for scheduling executive meetings, ensuring accuracy and efficiency.Template Design: Develop and maintain a suite of event templates to streamline planning and execution.Cross-Functional Collaboration: Work closely with marketing, sales, and customer service teams to align event objectives and deliverables.Vendor Coordination: Liaise with vendors to secure the necessary tools and systems for events.Reporting: Generate reports on event metrics and tool usage to inform future event strategies.Qualifications:
- Bachelor’s degree in Event Management, Hospitality, Business Administration, or related field.
- 2-4 years of proven experience in event coordination, preferably within a fast-paced agency environment.
- High proficiency in using event registration software, scheduling tools, and Microsoft Office Suite.
- Exceptional organizational and multitasking skills with a strong eye to detail.
- Strong verbal and written communication skills.
- Creative problem-solving skills and the ability to work under pressure.
- Team-oriented mindset with a strong capability to work collaboratively.
