About the Role: Provide confidential administrative support for Legal Department by overseeing and maintaining online and physical contract databases, invoice processing, preparing reports, and scheduling and arranging for meetings.


  • Serve as primary point of contact with accounts receivable departments at external law firms and vendors and manage coding, internal approval and processing of third-party invoices.  
  • Generate and deliver reports on open and paid invoices.
  • Prepare travel & expense reports for legal team members.
  • Review key contract terms and maintain internal trackers.
  • Maintain online and physical contract databases and manage other filing needs.
  • Prepare and submit business license and permit applications and renewals.
  • Work with other members of the legal team on maintaining intellectual property databases. 
  • Assist with preparing and submitting intellectual property registrations.
  • Open, route and prioritize mail.
  • Work with legal team members, as needed, on managing calendars, scheduling meetings and/or travel requirements.
  • Perform general administrative tasks and ongoing projects and initiatives as needed, supporting both in-office and remote team members.

Experience and Skills


  • Generally, 3+ years of relevant work experience. 
  • Knowledge of and proficiency with MS Office products, including Word, Excel, PowerPoint and Outlook
  • Has developed specialized skills or is multi-skilled through job-related training and on-the-job experience
  • Responsibilities are accomplished within established procedures/standards
  • Works autonomously within established procedures, processes, and practices
  • Completes work with a limited degree of supervision

Qualifications


  • Exceptional interpersonal skills and professionalism to communicate with all levels of management and staff.
  • Strong oral and written communication skills. 
  • Excellent organizational and follow-up skills with attention to detail. 
  • Ability to meet deadlines and handle multiple priorities.
  • Ability to work independently and as part of a team.   
  • Experience and proven track record of handling sensitive and confidential information discretely.
