Overview: 


Handle all incoming visitors, calls, invoices, mail and deliveries sent to Angel Oak Mortgage Solutions.    Process invoices, travel, supply orders and booking requests.  All documents must be processed with the highest level of care and confidentiality. Complete all duties in accordance with Angel Oak Mortgage Solutions policies, procedures, guidelines and applicable state and federal regulations. 

Principal Accountabilities:


  • Welcome visitors and usher them to the appropriate location.
  • Assist with obtaining invoice approval and track all invoices following up to ensure timely payment.
  • Answer the main telephone line.
  • Monitor the main email box.
  • Complete office and breakroom supply orders
  • Assist with facilities requests (i.e. conference room booking, air conditioning, etc.)
  • Welcome new hires and facilitate new hire package preparation.
  • Assist with booking corporate travel arrangements and outings.
  • Analyze and send documents to the appropriate recipient.
  • Catalog electronic documents with accuracy in Encompass.
  • Collaborate with all departments within the company regarding documentation submitted to those departments and timelines for completion.
  • Handle customer inquiries in a timely and professional manner.
  • Document all conversations with customers and staff regarding loan files in Encompass.
  • Complete all company required compliance testing.
  • Participate in all required trainings as determined by the leadership team.
  • Ensure all Angel Oak Mortgage Solutions policies are adhered to.
  • Log all time in Ultipro.
  • Perform other duties as assigned.
  • Willingness to work flexible hours and overtime during peak business flow (occurs at month-end).  Must work a minimum of 40 hours per week.

  • Basic knowledge of real estate and lending terminology and regulatory requirements a plus
  • Ability to organize and plan work to meet daily, weekly and monthly deadlines in fast-paced environment
  • Delivers on commitments.
  • Owns accountability for personal mistakes.

EDUCATION/EXPERIENCE:


  • High school diploma, or equivalent.
  • One to two years experience in a residential lending environment preferred.
  • Must have 1 year administrative experience if no mortgage experience has been acquired.

MACHINES, OFFICE EQUIPMENT & SOFTWARE:


  • Personal computer, facsimile, photocopier, calculator, Microsoft Word, Excel, Encompass.
