Salary Range: $12.50 - $14.00 per hour* Starting pay varies based on location and experience, in compliance with specific state wage regulations. Competitive rates tailored to your geography and expertise.
Position Overview:
The Scanner Operator is responsible for batching, preparing, scanning, indexing, quality control/validation, and managing source documents received daily. This role requires meticulous attention to detail, adherence to HIPAA regulations, and consistent communication with internal teams to ensure smooth document handling and process management.
Key Responsibilities:
- Prepare charge batch documents for scanning by removing obstacles such as staples, tape, or other elements that may affect scan quality.
- Batch charges, including organizing client charges into standard document order and in alignment with client specifics; create batch tickets in F1rst Anesthesia (FA).
- Batch paper payments, correspondence, and other documents needing to be scanned into the billing system or made available for Coronis personnel.
- Electronically upload charge batches for specific jobs using the Electronic Submission Tool.
- Scan batches using KoFax Accent Capture.
- Perform quality control and validation of scanned documents.
- Identify and correct poor images during the quality control phase of scanning.
- Monitor batches to ensure successful scanning and address any unsuccessful scanned batches.
- Index scanned documents and ensure accurate filing.
- Ensure all necessary files are transferred to Ajuba using Smart FTP.
- Respond daily to rescan requests from Ajuba.
- Send receipt of charges notifications to clients via email.
- Maintain daily communication regarding work status with the VP of Operations.
- Ensure the proper destruction of source documents in accordance with HIPAA guidelines.
- Maintain scanning equipment and supplies and communicate any issues with IT staff immediately.
- Other duties as required.
Skills & Technical Experience:
Education & Experience:- High school diploma or equivalent combination of education and experience.
- 2+ years of experience in a front office or administrative role; medical billing office experience preferred.
- Experience in a diverse, multi-cultural office environment preferred.
Communication Skills:- Professional-level verbal and written communication skills.
- Ability to communicate effectively via phone, email, and in person with employees, clients, vendors, and patients in a courteous and professional manner.
- Effective listening abilities and detailed note-taking skills; ability to draft correspondence.
Organization & Detail-Oriented:- Strong organizational skills, able to prioritize and complete numerous tasks under time constraints.
- Ability to balance short- and long-term issues effectively, handling simultaneous and often conflicting priorities.
- High attention to detail, able to proofread materials for contextual, grammatical, and typographical errors.
Customer Service:- Ability to provide welcoming, friendly, courteous, and prompt service.
- Ability to work professionally with employees, doctors, and management to meet company and client needs.
Problem-Solving Skills:- Ability to logically think through and solve problems involving several variables.
- Ability to gather information and investigate issues objectively.
Computer Skills:- Intermediate proficiency with Windows-based software, primarily MS Word, Excel, and Outlook.
- Experience with medical billing software preferred.
Qualifications:
Minimum Education/Certifications/OTJ Experience:
- High school diploma or equivalent.
Experience:
- 2+ years of experience in an administrative or front office role, preferably in a medical billing environment.
- Knowledge of scanning processes and basic technical troubleshooting for scanning equipment.
- Familiarity with HIPAA regulations and standards for document handling.
Leadership & Communication:
- Excellent verbal and written communication skills to interact with internal teams and clients.
- Ability to collaborate with IT staff and operational leaders to ensure smooth processes.
Problem-Solving & Process Improvement:
- Strong problem-solving skills to identify and resolve scanning or document issues.
- Ability to implement process improvements to enhance efficiency in document handling and scanning.
Physical Requirements:
- Physical ability to sit, stand, and bend for extended periods throughout the workday.
- Talk, hear, walk, push/pull, stoop, kneel, and reach regularly to seldom during the workday.
- Frequent repetitive hand motions, including fingering, grasping, and handling.
- Ability to read handwritten and typed documents on paper and/or computer screens.
- Ability to lift or carry objects weighing up to 35 lbs. and drive as needed.
- Continuous use of standard office equipment, including the copy/fax machine, computer, binding machine, and telephone.
