We are looking for an exceptional person to join our North America team as a P&C Coordinator.
The People & Culture Coordinator role is essential to the success of the agency. As the P&C Coordinator, you provide value by supporting our people, proactively building relationships, escalating concerns to team, and leading on the execution of processes. To have an impact on the business, you will ensure all people-related activities run smoothly and that employees across the US business have a consistent experience and feel supported.
Job Duties and Responsibilities
Recruiting:
- Support the recruitment process by posting roles, scheduling interviews, preparing offers
- Own updates of weekly recruiting tracker and system updates in Greenhouse
- Provide administrative support and research for recruitment activities as needed
HR Operations:
- Assist in the creation of various forms, documents, spreadsheets and presentations
- Help implement P&C initiatives and projects
- Identify and provide recommendations to improve culture and business operations
- Coordinate new hires and contractors pre-boarding activities and onboarding schedule
- Manage the learning and development schedule and P&C calendar as needed
- Be the go-to for employee questions, and communicate employee issues to P&C leadership
- Manage the completion of employee-related legal documents such as employment agreements, and handbook updates
- Maintain employee personnel files
- Assist in all employee lifecycle processes from new hire documentation and onboarding through to termination
- Communicate employee changes to the US Finance team and support with various crossover items such as payroll updates, contract addendums, new hires, exits etc.
- Collaborate with the global P&C team on various initiatives including monthly reporting, events, etc.
- Utilize people admin systems (Namely, Bonusly, ADP, Adobe Sign Greenhouse), and pull data for reporting as needed
- Communicate with outside vendors, such as Trinet, Acrisure, TransAmerica, ADP, John Hancock as needed
- Ensure all Company Holidays and PTO requests are up to date in Strategic Time Planner weekly
- Own all background checks and audit requests
- Own all 401k administration and transfers through John Hancock and TransAmerica
- Manage the P&C alias inbox, ensuring quick response times and escalate problems as needed
You’ll Bring:
- 2 or more years of experience in an administrative role, HR experience preferred
- Not required, but preferred - Experience with ADP, Trinet, Greenhouse or Sage
- Attention to detail and a passion for creating efficient processes
- Strong relationship building skills and emotional intelligence to build rapport and trust and work effectively with different types of people at all levels
- Strong communication skills
- An ability to write and articulate complex information into simple, easy to understand language for employees
- Solid analytical skills
- A desire to constantly learn and develop your skills
- A focus on delivering results and meeting expectations
- An ability to adapt and respond to change, to challenge the status quo and be a change agent/leader
- A capacity to cope with challenges, pressures and setbacks

Compensation Range: $46,000 - $70,000
The range listed is just one component of Hotwire’s total compensation package for employees, which includes bonus opportunities and a variety of benefits mentioned above. Hotwire takes into consideration a candidate’s education, training, and experience, as well as the position’s work location, expected work to be performed, required travel (if any), external market and internal value, and internal pay alignment when determining the salary level for potential new employees. A potential new employee’s salary history will not be used in compensation decisions.
