Reporting directly to the Office Administrator, this position encompasses a diverse range of responsibilities including greeting visitors, managing incoming calls, and processing both accounting transactions and mail. The successful candidate will excel in multitasking, demonstrating proficiency in preparing and organizing files, creating purchase orders, posting receipts, and handling invoice filings.Key Roles / Responsibilities:
- Provide a welcoming atmosphere and manage incoming communications.
- Handle financial tasks including posting receipts and filing invoices.
- Process both incoming and outgoing mail.
- Prepare and Organize Files.
- Generate and manage purchase orders as needed.
- Investigate and correct any discrepancies in financial records or other areas.
- Support various reporting processes including payables, production, materials, and inventory.
- Monitor and purchase general office supplies as required.
- Assist in planning and organizing travel, training sessions, meetings, and employee functions.
- Handle sensitive information with discretion and uphold confidentiality standards.
Required Education, Experience, and Qualifications:
- A high school education is required.
- A valid driver’s license is required.
- Experience in general administrative assistance, including accounts payable, is required.
- A clear and articulate telephone voice is required.
- Accuracy and timeliness in performing job duties are essential.
- Proficiency in Microsoft Office products is required.
- Excellent organizational skills are required.
- Strong verbal and written communication skills are required.
- A technical college or undergraduate degree is preferred.
- Knowledge or experience with SAP computer software is a plus.
Working Conditions:
- Prolonged periods sitting at a desk and working on a computer.
- Must be able to lift 15 pounds at times.
- Positions self to install equipment, including under desks.
- Moves throughout the building to access files.
- Must be able to comprehend and follow written and oral instructions.
- Must be able to complete tasks even with frequent interruptions.
- Must be able to use discretion and independent judgment as needed.
- Must be able to speak clearly on the phone and to fellow workers.
