Executive Assistant (Tokyo Studio)

Niantic’s Tokyo Studio is looking for a highly proactive
Executive Assistant to support the Chief Product Officer (CPO) and General Manager of the Tokyo Studio. This role is essential in leading key administrative functions, enabling smooth communication, and coordinating various global projects and initiatives. You will work closely with senior leadership and help shape the operations of a fast-paced team focused on innovative, real-world experiences through augmented reality. Responsibilities


  • Leadership Calendar Management: Ensure efficient and accurate management of the CPO's calendar, scheduling meetings across time zones, coordinating appointments, and prioritizing tasks for maximum productivity.
  • Event and Meeting Coordination: Plan and organize business meetings, offsite events, and team-building activities, both domestically and internationally, ensuring every detail is handled smoothly.
  • Travel Arrangements: Manage travel plans including flight bookings, accommodations, and itineraries for international and domestic trips.
  • Communication Liaison: Serve as the key contact point for internal and external communications, maintaining a high standard of professionalism when interacting with C-level executives, partners, and team members.
  • Document Preparation: Create and refine high-quality reports, presentations, and documents, ensuring clarity and professionalism in both Japanese and English.
  • Expense Management: Handle expense reports, ensuring timely processing and adherence to company policies.
  • Cross-functional Collaboration: Partner with team members across different functions and regions to ensure seamless coordination and support of company initiatives.
  • Project Support: Assist with logistics and planning for ongoing projects, ensuring on-time delivery and align with company goals.
  • In Office Support: Required in-office 3 days on Tuesday, Wednesday, and Thursday.

Qualifications


  • Experience: 4+ years of executive assistant experience, preferably supporting senior leadership in the tech, gaming, or entertainment industries.
  • Language Skills: Fluent in both Japanese and English, with strong verbal and written communication skills in both languages.
  • Technical Skills: Expertise in Google Suite (Docs, Sheets, Slides, Gmail) and Microsoft Office (Word, Excel, PowerPoint); experience with tools like Expensify is a plus.
  • Organizational Abilities: Impeccable organizational skills, with the ability to manage multiple tasks, prioritize effectively, and maintain attention to detail.
  • Interpersonal Skills: Professional and poised in interactions with high-level executives and internal teams, with excellent communication skills.
  • Problem-solving: Adaptable and proactive, capable of anticipating needs and developing solutions in a fast-paced environment.
  • Cultural Awareness: Experience working across cultures with an understanding of Japanese business practices and global collaboration dynamics.
  • Gaming Enthusiasm: A passion for gaming, especially mobile and augmented reality-based games, is highly valued.
  • Dynamic: Ability to work in a fast-paced hybrid environment and handle stress appropriately and/or ability to solve practical problems and be sufficiently adaptable to handle dynamic situations with little advance notice. 
  • Partnership: Experience working on cross-functional teams with ability to communicate effectively through written and verbal communications, including asynchronous interactions with others.
