About the role:


We are looking for an experienced Talent Coordinator and Operations Specialist to join our Talent Acquisition team in a hybrid work environment. This role is essential for ensuring smooth and efficient recruitment processes, with a strong focus on scheduling, calendaring, and ATS systems management. The ideal candidate will have extensive experience with Greenhouse ATS and Gem Scheduler software, and will be responsible for managing complex interview schedules, maintaining clear communication with candidates, and supporting recruiters throughout the hiring process.

⚒️Responsibilities:


  • Interview Scheduling: Coordinate and manage complex interview schedules across multiple time zones, ensuring alignment with both candidate and interviewer availability.
  • Calendar Management: Maintain up-to-date and accurate calendars for recruiters and hiring managers, proactively identifying and resolving any scheduling conflicts.
  • Candidate Experience: Greet candidates virtually and in person for onsite interviews, ensuring a positive and professional experience. Provide support and guidance to candidates, helping them feel comfortable and prepared for their interviews.
  • Candidate Communication: Serve as the primary point of contact for candidates throughout the interview process, providing timely updates, confirmations, and detailed instructions.
  • ATS Management (Greenhouse): Oversee the Applicant Tracking System (Greenhouse) to ensure all candidate data, interview lineups, and status updates are accurately recorded and easily accessible.
  • Scheduling Systems Management: Utilize a scheduling software to automate and streamline the scheduling of interviews, ensuring a seamless experience for both candidates and internal teams.
  • Process Improvement: Continuously evaluate scheduling and calendaring processes, identifying opportunities for efficiency and proposing improvements.
  • Documentation & Compliance: Ensure all recruitment documentation is organized and compliant with company policies and relevant employment laws.

🙌 What we want you to bring:


  • Experience: 3+ years of experience as a Recruiting Coordinator or in a similar role with a strong focus on scheduling and calendar management.
  • Scheduling Expertise: Demonstrated experience in managing complex, multi-time-zone interview schedules and resolving scheduling conflicts efficiently.
  • Greenhouse Expertise: In-depth experience managing recruitment workflows and data/reporting within Greenhouse ATS.
  • Candidate Experience: Proven ability to create a welcoming and supportive environment for candidates, both virtually and in person, ensuring a positive interview experience.
  • Communication Skills: Excellent verbal and written communication skills, with the ability to provide clear and timely updates to candidates and internal stakeholders.
  • Organizational Skills: Exceptional organizational skills, with the ability to juggle multiple tasks, prioritize effectively, and maintain attention to detail.
  • Team Collaboration: Proven ability to collaborate effectively with recruiters, hiring managers, and other team members to ensure a smooth recruitment process.
  • Tech Savvy: Proficient in Microsoft Office Suite (Word, Excel, PowerPoint), G-suite (Google Sheet expertise), and familiar with various recruitment tools and technologies.

What we offer in return:


Compensation Range: $80,000 - $85,000 annual base salary The salary ranges for the roles are posted for your convenience and review. Please understand that if an offer is presented, the offer compensation package will be based on the relevant position related skills a candidate demonstrates during our formal interview process.
