Job Description: Assistant Project Manager (Custodial Services)
Position Title: Assistant Project ManagerLocation: Philadelphia, PA Department: Custodial ServicesReports to: Project ManagerPosition Overview:The Assistant Project Manager plays a crucial role in supporting the Project Manager by overseeing the daily custodial operations and ensuring full compliance with the contract. This individual is responsible for managing site supervisors, team leads, and ensuring the highest levels of quality and customer satisfaction. The Assistant Project Manager should possess strong leadership, organizational, and communication skills, along with the ability to work effectively under pressure.The ideal candidate will be results-oriented, proactive, and committed to fostering a culture of efficiency, excellence, and teamwork.________________________________________Core Responsibilities:•Operational Management:oAssist with the supervision and operational control of all custodial services to meet contract requirements.oInspect work areas regularly to ensure cleaning standards are met and processes are followed.oEnsure that staffing levels are appropriate and labor is effectively utilized.oIdentify opportunities for process improvement and develop standard operating procedures (SOPs) for efficiency.oAdminister equipment maintenance programs and coordinate repairs as needed, maintaining accurate records.•Budget and Cost Control:oAssist in managing the site budget to control costs, including overtime and supply expenditures.oReview and ensure payroll accuracy, including certified payroll administration.oMonitor and track financial performance, reporting to the Operations Manager and senior leadership on a regular basis.•Staff Management and Development:oProvide leadership and guidance to site supervisors, leads, and custodial staff to promote motivation, morale, and teamwork.oDevelop and oversee quality assurance, training, and employee engagement programs to ensure consistent performance.oConduct training sessions for managers, supervisors, and leads on company policies and client operating procedures.oCollaborate with the HR Manager to address disciplinary actions and ensure accuracy in all reports.•Client Relations and Communication:oAct as the primary point of contact for the client when the Project Manager is unavailable, ensuring timely resolution of complaints or concerns.oAttend monthly client meetings (Zoom, Teams, or in-person) to review contract performance and address any issues.oGenerate agendas and lead effective internal meetings to discuss operational strategies and challenges.oSubmit detailed monthly reports on operational performance to the Operations Manager, HR Manager, Executive VP, and President.•Compliance and Safety:oEnsure that all custodial operations comply with safety regulations, company policies, and the collective bargaining agreement (CBA).oLead efforts to reduce employee turnover by developing goals and action plans.oMaintain compliance with the company’s safety program, ensuring adherence to protocols and a reduction in lost-time accidents.•Customer Service and Quality Assurance:oResolve all customer complaints and concerns in a timely and professional manner.oEnsure all managers and supervisors are conducting weekly inspections to maintain high standards of service delivery.oMaintain a high level of customer satisfaction by ensuring quality work and consistent follow-through on issues.________________________________________Required Qualifications:•Experience:oMinimum of 3 years of supervisory or management experience in custodial services, facilities management, or a related field.oExperience managing labor in a unionized environment is highly desirable.•Skills & Abilities:oProven leadership abilities with experience in team management, motivation, and staff development.oStrong operational skills in scheduling, labor relations, and cost control.oExceptional communication and client relations skills, with an emphasis on follow-up and attention to detail.oAbility to function in a fast-paced, high-pressure environment while meeting deadlines.oProficient in Microsoft Office Suite (Word, Excel, PowerPoint, and Outlook).oExcellent problem-solving and conflict resolution skills.•Certifications:oOSHA or other relevant safety certifications preferred.•Physical Requirements:oAbility to stand, walk, and perform manual tasks for extended periods.oAbility to lift and move up to 50 lbs.oMust pass all required security and background checks for airport access.________________________________________Core Values:•Efficiency: Ensure organization, order, and productivity in daily operations.•Excellence: Maintain the highest standards of service and performance.•High Quality of Work: Deliver impeccable results, with no customer complaints.•Teamwork: Foster a culture of cooperation, collaboration, and partnership.•Respect: Treat colleagues and customers with high regard and professionalism.•Dedication: Show commitment, enthusiasm, and diligence in achieving goals.•Responsibility: Uphold a sense of duty, trust, and accountability in all tasks.
