About the role:


We’re seeking an executive and personal Assistant who will report to the CEO of Carbyne for his work and personal Administrative and Travel needs. You will manage correspondence, schedule meetings, arrange travel, and ensure that all inquiries and requests are handled timely and accurately. You are ready to help the CEO and others and must have a can-do attitude for what it takes to support the CEO. This role must be in our NYC office 3-4 days a week and available by phone and Slack which may occur outside of normal business hours.

Here’s what you’ll be working on:


  • Coordinating the CEO's calendar, including meetings, appointments, and travel arrangements.
  • Ensuring that all materials are treated with professionalism and strict confidentiality if required.
  • Booking appointments, reservations, and travel for the CEO’s work.
  • Assisting the CEO and his family on certain personal duties, such as taxes and school. 
  • Manage the CEO’s expense reports and reimbursement process.
  • Organizing reports and documents and preparing presentations for the CEO.
  • All other duties and responsibilities as may be assigned

Requirements


  • 3-5 years of proven experience in an executive assistant role (experience in a similar position at a High-tech/Start-up company- a big advance)

  • Proficient in English and Hebrew.
  • Self-motivated with great interpersonal skills, passion for excellent service, ability to multitask and work under pressure, and juggling multiple high-priority projects
  • Excellent communication, organizational, planning, and time management skills.
  • Experience working with senior executives
  • Proficient with Microsoft Office and Google products
  • Discretion in handling highly sensitive and confidential information
  • “Roll up your sleeves attitude” and flexibility - Willing to work on many different types of tasks.
