Job Summary
The Billing Specialist is responsible for ensuring accurate and timely client billing within Addepar. This role involves preparing and distributing billing statements, coordinating account debits, managing fee rebates, and maintaining clean billing-related data. The ideal candidate will have strong analytical skills, attention to detail, and the ability to collaborate with internal teams and external custodians. This position plays a crucial role in maintaining the integrity of financial records and ensuring a seamless billing process for our clients.
Responsibilities
- Prepare, review, and generate accurate billing statements using the portfolio management system in alignment with client billing schedules.
- Ensure accuracy by auditing portfolio management system data and gathering necessary financial information.
- Distribute billing statements to clients promptly and address any inquiries related to fees or billing discrepancies.
- Collaborate with custodians to facilitate monthly client account debits, ensuring timely and accurate fee processing.
- Manage fee debits and coordinate rebate processing for terminated client accounts.
- Work closely with the Data & Reporting team to maintain clean, accurate, and audit-ready billing data within the portfolio management system.
- Support process improvements by identifying opportunities to enhance efficiency and accuracy in billing operations.
Qualifications & Requirements
- Bachelor’s degree (BA/BS) or an equivalent combination of education and relevant work experience.
- Proficiency in Microsoft Office Suite, particularly Excel, Word, and Outlook.
- Experience with portfolio management systems (e.g., Addepar, Tamarac) and CRM platforms (e.g., Salesforce) preferred, or the ability to quickly learn new software.
- Strong analytical and problem-solving skills with keen attention to detail and a high degree of accuracy.
- Ability to collaborate with cross-functional teams and manage multiple priorities effectively.
- Excellent verbal and written communication skills to interact professionally with clients and internal teams.
- High standards of professionalism, confidentiality, and compliance with data security protocols.
- Familiarity with financial services, investment advisory operations, and custodian data management is a plus.

Physical Requirements
- This position requires the physical capabilities to work in an office environment, which may include prolonged periods of sitting at a desk and working on a computer. - This position is required to work onsite 4 days per week.
