Job Description:
The Licensing Assistant will report to the Manager, Compliance & Regulatory Affairs and be responsible for providing general administrative support to the Legal and Compliance Team in its maintenance and compliance of the Company’s state and regulatory licenses. This includes responsibilities such as populating documents, organizing and collecting signatures, managing tracking spreadsheets, participating in meetings, accessing state websites for research and other tasks. This position works within a small team in the Legal and Compliance Department. We’re seeking someone who is eager to work hard, can work independently and has a drive to grow and develop within the department. The role offers a hybrid work-from-home schedule.
Responsibilities:
- Assist in the gathering of information and preparation of licensing and registrations for the business
- Track and report on 200+ licenses and registrations
- Respond to internal and external inquiries with speed and professionalism
- Maintain the licensing calendar for various business groups
- Perform routine clerical duties, such as filing forms and other records, with the Secretary of State for foreign LLC and d/b/a registrations
- Maintain accurate and thorough files and documentation
- Assist in and work with the Compliance and Legal team to improve operational efficiencies and effectiveness.
- Work to proactively meet deadlines
- Perform ad-hoc projects as assigned
Education & Other Minimum Requirements
- High School Diploma or GED
- Three years of experience in administrative support
- Excellent skills in Microsoft Office, specifically Microsoft Excel and Teams
- Excellent time management and organizational skills, as well as attentiveness to details and a commitment to follow up
- Able to effectively manage several administrative tasks in a fast-paced environment
- Ability to communicate effectively verbally and in writing
- Ability to handle confidential corporate information in a discrete and professional manner
- Ability to work and complete tasks independently
Bonus points if you have:
- Experience dealing with government employees and state agencies and use of the Nationwide Multi-State Licensing System (“NMLS”)
- Existing notary or ability to obtain notary
- Previous experience working with loan servicers and/or collection agencies
