FLSA: Non-exempt Position Overview: This is a support role in the Operations Department, reporting to the Facilities Manager. This position will require the ability to work interchangeably in an administrative, assistant, and support capacity for the facilities, mailroom (checksafe), and receptionist team. The Jr. Facilities Assistant must possess a level of attention to detail and customer focus. Assist with updating work orders and mailroom requests via Smartsheet. Assist in the preparation of reports, graphs, and presentations using spreadsheets, graphic software, and/or database applications.
Assist in processing large volumes of mail and checks. Troubleshoot mailroom equipment. Assist with room set up, breakroom or conference room stocking, and perform facility walk arounds for maintenance. Job Responsibilities:
- Assistant in a full range of administrative, clerical, and office support for the entire Facilities Team
- Guest and visitor management
- Build effective professional relationships with other departments, vendors, business partners, and other teams
- Interface with vendors
- Work with Building Management to handle all requests regarding keys; parking; cleaning/maintenance; building temperature settings; general facilities requests, etc and learn to use their system.
- Manage the life cycle of office/kitchen equipment; set appointment for service; order new items as needed
- Order supplies for the management team
- Ensures that all company mail is received and processed as quickly and accurately as possible.
- Date stamps all incoming mail.
- Keeps record of all incoming mail using internal tracking system to identify date of receipt and destination for identification purposes.
- Sorts mail according to destination and type such as claims, payments, adjustments, etc.
- Make copies of all checks and attach to corresponding backup
- Assistwith special assignments
