Job Description


We are seeking a strategic and organized Chief of Staff to work closely with the CEO of our fast-growing AI startup. As a trusted partner to the CEO, you will play a pivotal role in optimizing executive operations, driving strategic initiatives, and supporting company-wide goals. This role requires a high level of adaptability, discretion, and problem-solving skills, as you will work across multiple departments and manage cross-functional projects to enable the CEO to focus on scaling the business.

Key Responsibilities:


  • Strategic Planning & Execution: Partner with the CEO to develop, communicate, and execute the company’s strategic initiatives. Translate high-level strategy into operational plans and ensure alignment across all departments.
  • Operational Efficiency: Streamline executive-level operations and prioritize tasks to maximize the CEO’s time and focus. Provide strategic recommendations and support decision-making by ensuring the CEO has all necessary information and data.
  • Project Management: Lead and manage key cross-functional projects, from inception to completion, ensuring timely delivery of high-impact initiatives. Track progress against objectives and communicate updates to the leadership team.
  • Meeting Preparation & Follow-up: Prepare for key internal and external meetings by gathering data, creating agendas, and briefing the CEO on relevant issues. Ensure clear follow-up actions from meetings and track deliverables.
  • Communication Liaison: Act as the primary point of contact between the CEO and other internal and external stakeholders. Facilitate clear communication, manage expectations, and ensure that key priorities are addressed.
  • Executive Reporting: Assist the CEO in preparing presentations, reports, and other communication materials for the board of directors, investors, and company-wide meetings.
  • Leadership Team Support: Work closely with the leadership team to ensure alignment on company priorities, assist in breaking down silos between departments, and resolve bottlenecks that could impede company progress.
  • Problem Solving & Decision Support: Identify and proactively address potential issues before they escalate. Provide research, analysis, and recommendations to support key decisions.
  • Organizational Development: Support the CEO in fostering a culture of innovation, transparency, and collaboration across the company. Help lead company-wide initiatives aimed at improving employee engagement and alignment with company values.
  • Special Projects: Take on ad-hoc projects at the discretion of the CEO, ranging from operations improvements to growth initiatives or investor relations support.

Qualifications


  • Bachelor’s degree in Business, Engineering, or a related field; MBA or advanced degree preferred 
  • 5+ years of experience in a similar Chief of Staff, operations, or consulting role, ideally within a tech startup or fast-growth environment 
  • Strong understanding of AI industry trends and the unique challenges/opportunities in scaling an AI startup
  • Proven experience in strategic planning, project management, and operational execution
  • Excellent communication and interpersonal skills, with the ability to influence and engage with stakeholders at all levels
  • Highly organized with the ability to manage multiple projects and priorities simultaneously
  • Ability to work autonomously in a fast-paced, high-growth startup environment
  • Exceptional problem-solving skills and a strong sense of ownership and accountability
  • Discretion and ability to handle confidential information with integrity

Preferred Skills:


  • Experience in AI, machine learning, or SaaS industries 
  • Prior experience working with C-level executives in a mid-sized company (50-150 employees) 
  • Familiarity with startup dynamics, including fundraising, scaling operations, and investor relations 
  • Knowledge of data analytics and reporting tools to support decision-making 
  • Ability to act as a trusted advisor to the CEO and leadership team
