The Corporate Travel Coordinator will work closely with employees, travel agencies, and vendors to ensure a smooth and hassle-free travel experience for our staff.

RESPONSIBILITIES


  • Research, recommend, and stay up-to-date with industry trends, travel regulations, and emerging technologies to continuously enhance the travel management process program
  • Manage company travel program system
  • Research and compare prices, availability, and quality of travel options such as flights, hotels, and car rentals to secure the best rates and accommodations
  • Organize and coordinate all aspects of corporate travel arrangements for employees and meet the constraints of the company or client travel budget
  • Advise employees on travel policies, visa requirements, and any necessary documentation needed for their travel
  • Ensure all travel arrangements are made within a timely manner, cost-effectively, and following company policies and procedures
  • Manage and track travel expenses, including reconciling invoices, receipts, and credit card statements to ensure compliance with company policies and budgetary constraints
  • Communicate the status of expense reimbursements with employees and request additional information if needed
  • Review expense reports for compliance with contract requirements
  • Assist accounting team with all accounting operational transactions mainly centered around travel but include A/P, A/R, GL, Cost Accounting, and Revenue Recognition
  • Maintain files and records on all transactions
  • Produce various reports and statements

Requirements

  • One (1) year of bookkeeping, financial record keeping, or accounting clerical experience
  • 3+ years of experience proven work experience as a Travel Coordinator, Travel Agent, or a similar role in corporate travel management
  • Experience with government travel
  • Proficient in using travel booking systems and online travel portals to research, compare, and book travel options
  • Knowledge of travel policies, visa regulations, and international travel requirements
  • Familiarity with budgeting and expense management processes
  • Ability to communicate orally with employees and vendors is crucial. Regular use of phone and email for communication is essential
  • Must be able to manage preparing multiple travel itineraries
  • Excellent organizational and time management skills
  • Strong customer service orientation
  • Excellent written and oral communication skills
  • Excellent attention to detail and an understanding of fundamental business writing
  • Expertise in Microsoft Office Products (i.e., Word, Excel, PowerPoint, and Outlook)

EDUCATION: Bachelor’s Degree or High School Diploma with 3 years of relevant experienceCOMPENSATION: Includes paid holidays, vacation, sick leave, 401k matching, life insurance, health, vision, and dental benefits.
