Position Summary
The Flight Operations Coordinator works collaboratively with the Dispatchers/ Schedulers to ensure the highest level of service and accuracy for flight operations. This position also supports the Director of Aviation administratively. This role reports directly into the Director of Aviation.
Roles and Responsibilities
- Coordinates ground transportation, hotel accommodations and flight crewmembers at time.
- Maintain logs for crew medical
- Submits & maintain flight crew passport/visa renewals.
- Process invoices & expense reports for Aviation team, such as operational invoices including fuel, landing fees, etc.
- Operational record keeping including flight log audits, expenses, flight crew documents and training status, passenger utilization, flight designation.
- Process, log & maintain all contractor & vendor paperwork.
- Assists with weekly aviation reports for Director.
- Receive requests from the team & order office supplies/miscellaneous items needed.
- Assists during aircraft arrivals/departures by checking in passengers, verifying passenger data, and tagging passenger luggage.
- Actively participates in the safety management system and follows all applicable safety rules and regulations.
- Coordinate scheduling of aviation meetings and distribute meeting agenda items, as well as follow up on all action items.
- Responsible for creating, coordinating & executing team building activities
- Act as main of contact for hosting events at the Hangar, responsibilities will vary to support &/or lead events.
- Assisting facility manager with special projects throughout the Hangar (i.e. revamp of artwork, process efficiency, food supplies).
- Communicate, process & distribute vendor packages, supplies & other miscellaneous items throughout the Hangar.
- Provide executive administration support to Director of Aviation for calendaring, coordinate travel & hotel accommodation.
- Assist training manager with logging annual required trainings for crew members.
- Responsible for the attention to the details being kept up and presentable within the lobby, restrooms & conference rooms.
- Order uniforms for crew.
- Is responsible for the coordinating & facilitating onboarding of new hires/contractors on the Aviation team.
- Is responsible for the following the proper protocols for offboarding of associates &/or contractors.
- Other duties as assigned by the Director of Aviation and or supporting the needs of the department.
Qualifications & Experience
- Three years of experience in areas relating to customer service, scheduling, logistics, or administration.
- Ability to collaborate across teams to solve problems.
- Must have knowledge of general office practices, procedures and equipment.
- Understand and provide extreme professionalism and demonstrative strong communication skills both written & verbally.
- Must have the ability to prioritize tasks and work independently.
- Strong organizational and interpersonal communication skills; and experience interacting with senior level management and family members.
- Knowledge of administrative and office procedures and systems such as managing files and records.
- The successful candidate must be punctual and reliable.
- Proficiency with Adobe & Microsoft Office products including Outlook, Excel, Word, and PowerPoint.

Special Remarks
This position typically requires presence at our office Monday through Friday during normal business hours (8:00am to 5:00pm). Occasionally, our schedule changes and flexibility is key to our success.
