Job Summary
We are seeking a meticulous and experienced Payroll Specialist to join our Human Resources team. This role is responsible for the accurate processing and reconciliation of payroll, management of payroll taxes, and ensuring regulatory compliance. The Payroll Specialist will work closely with the People Operations and FInance teams to address payroll inquiries and maintain accurate employee records. This role demands exceptional organizational skills, attention to detail, and the ability to work independently and handle confidential information with discretion.
Job Responsibilities
- Accurately process biweekly payroll cycles, ensuring timely and precise payment to employees.
- Manage payroll deductions, garnishments, benefit adjustments, and tax withholdings.
- Oversee state and federal tax registrations, handle tax filings, and address payroll tax inquiries from government agencies.
- Stay current with federal, state, and local payroll laws, ensuring compliance and adapting processes as necessary.
- Update employee records in payroll and HRIS systems, maintaining data integrity and confidentiality.
- Generate payroll reports for HR and Finance teams, providing insights on payroll expenses and compliance.
- Oversee the integration and maintenance of expense management tools in payroll.
- Collaborate with HR to streamline payroll processes and implement enhancements.
- Address and resolve payroll-related inquiries from employees in a timely and professional manner.
- Assist with annual payroll audits and ensure accurate year-end reporting for W-2s and other required documentation.
- Conduct regular audits of payroll records to maintain compliance and accurate reporting.
- Required Skills and Abilities
- Strong proficiency with payroll software and MS Office (especially Excel).
- Exceptional attention to detail and organizational skills.
- Strong analytical and problem-solving skills with the ability to handle confidential data securely.
- Ability to work effectively under pressure and manage multiple deadlines.
- Knowledge of federal, state, and local payroll regulations and compliance requirements.
Required Education and Experience
- Bachelor’s degree in Accounting, Business Administration, Human Resources, or a related field.
- 3+ years of experience in payroll administration, managing muti-state payroll.
- Familiarity with HRIS and payroll software systems, with experience in Paycor being a plus.
