Job Overview


:Duties of a Facilities Coordinator: Facilities coordinators schedule preventative maintenance, respond to urgent maintenance calls and participate in the creation of emergency preparedness plans. This position may require coordinators to work in an administrative assistant capacity in addition to maintenance coordinationMay operate automated office equipment and utilize software. Assists in the preparation of reports, graphs, and presentations using spreadsheet, graphic software, and/ or database applications.

Acts as an information source on organization policies and procedures. May assist in establishing office policies and procedures and coordinates special projects and department activities. May be assigned in various functional areas of the company. The facilities coordinator must be possess high customer focus, and be familiar with ticketing system. This position may require Co. Wide emails, communication with building security, and serve as back up to order supplies as needed. Room set up, Breakroom stocking, Services as Maintenance Coordinator (Vendor) working knowledge of front desk function and responsibilities, perform facility walk arounds for maintenance, Invoices as needed. Serves as back up to Mailroom Coordinator (sorting and picking up mail)

Job Responsibilities:


  • Assistant in a full range of administrative, clerical, and office support for the entire Facilities Team
  • Invoicing, payments processing and assist with budget as needed
  • Office Management – work with vendors, be liaison for contracts and oversee fulfillment of services
  • Guest and visitor management
  • Coordinate internal & external meetings as needed – manage program attendance, catering room prep, AV equipment and clean up
  • Manage office and maintenance calendars
  • Build effective professional relationships with other departments, vendors, business partners, and other teams
  • Interface with vendors (as needed)
  • Order supplies for the Management Team
  • Work with Building Management to handle all requests regarding keys; parking; cleaning/maintenance; building temperature settings; general facilities requests, etc and learn to use their system.
  • Manage the life cycle of office/kitchen equipment; set appointment for service; order new items as needed
  • Maintain upkeep of Conference Rooms; stocking/inventory/monthly order
  • Manage shipping/receiving requests for building and Office Management
  • Assist in special assignments and other duties as assigned

  • While performing the duties of this job, the employee is regularly required to talk and hear. This position is very active and requires standing, walking, bending, kneeling, stooping, crouching, crawling and climbing all day. The employee must frequently lift or move items over 35 pounds. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception and ability to adjust focus.

Job Requirements:


  • High School Diploma required, Bachelor’s Degree preferred
  • Additional technical training or experience in Office Administration preferred
  • Flexible hours
  • Excellent written and verbal communication skills
  • Complete fluency in Windows, Word, Excel, PowerPoint and Outlook
  • Ability to work in a fast-paced environment
  • Highly detail oriented and organized
  • Excellent Interpersonal and Customer Service Skills
