The Operations Associate is responsible for providing a variety of secretarial, clerical and administrative support duties for departments, functional groups and/or executives Manage the administrative activities of a department, functional group and/or area including managing, overseeing inquiry and data entry, running reports and office servicesSome of the exciting things you will do in this role...
Supports management with vendor selection, pricing, and delivery of branch services such as office supplies, cleaning, and coffee service. And/or assist the local Office Coordinator with these duties
Coordinates and support local Accounts Receivable group for branches
Assists and manages requests from sales and operations for customer orders and purchase orders when research is needed and general system maintenance. Also can include sales execution and coordination
Runs various daily, weekly and monthly reports
Provides support, direction and back up for all invoicing, transfer processing, Branch AP functions and ERP system maintenance
Review of Bill of Ladings to ensure freight charges to the branch are valid and applied to the applicable party (Ie. Customer vs. Branch)
Uploading/Scanning of all Pick Tickets and POD to MaxRecall for billing to process. And/or assist the local Office Coordinator with these duties
Uploading/Scanning of all inbound vendor documentation and pre-receivers as back up for purchased goods (Ie. Buy-outs, Office Supplies) And/or assist the local Office Coordinator with these duties
Review and forward necessary Invoices for the applicable branch to corporate AP department
A must…
2 – 5 years of administrative experience, or equivalent number of years of education and experience.
Excellent organizational skills preferred.
Ability to sit and perform data entry tasks for extended periods. Preferred candidate needs to be able to work quickly, and more importantly, accurately, in order to minimize errors.
Strong Excel experience required, along with knowledge of other Microsoft products such as Word & PowerPoint.
