Your Role:
As part of a friendly and committed London Career & Internships Team, this position contributes to the administrative function of all employability programmes for the international students at our London student centre. This includes internships (work placements), the business consulting course, volunteering, professional development workshops, and more. In addition to this core function, the role is involved with contributing to the overall smooth running of London programmes at the study centre, collaborating closely with other teams and helping create a positive learning environment.
What You’ll Do:
The job duties listed below are not all inclusive of what the employee may be responsible for. Other duties may be assigned.
- Managing the administration of student submissions for mandatory forms, including onboarding documents, objectives and responsibilities forms, and timesheets.
- Conducting data management and review of the in-country operating spreadsheet to ensure accuracy and up-to-date records.
- Assisting the team with updates, segmentation, and review of student internship applications.
- Processing student travel reimbursement requests with efficiency and attention to detail.
- Updating and maintaining internship records in Salesforce to ensure comprehensive and accurate data.
- Coordinating logistics for student arrivals to their accommodations at the start of the spring term.
- Providing support on various administrative tasks and special projects within the Career & Internships office.
- Covering front desk responsibilities as needed, on a scheduled rotation basis.
- Assisting in organizing orientation sessions and internship program briefings to help students transition smoothly into their roles.
- Communicating with students and internship supervisors to address questions and provide ongoing support throughout the internship term.
Hours: This is a temporary contract for 37.5 hours per week. Standard work schedule is 9:00 am – 5:30 pm, Monday to Friday, with an hour for lunch. This is for the period of 18 November 2024 to 24 January 2025. The London centre is open Monday-Friday; however, we have the opportunity for remote work from home on Fridays.
What Makes a Great Candidate:
- Bachelor’s degree and/or relevant work experience
- Established legal right to work in the UK
- 1-3 years experience advising students
- Strong team player with demonstrated ability to work effectively and collaboratively with various departments and stakeholders
- Demonstrated organizational skills, multitasking skills, and attention to detail
- Excellent interpersonal, oral, and written communication skills
- Strong administrative and problem-solving skills
- A flexible, good-natured approach to work
- Ability to work in a fast-paced environment
- Proficiency with Microsoft Office (MS): Word, Excel, Outlook

- Experience working in a university setting
- Knowledge of the city and its cultural/leisure offer
