ESSENTIAL FUNCTIONS


  • Operate telephone switchboard to answer, screen, and forward calls, providing information, taking messages, and scheduling appointments.

  • Greet people entering the office, determine the nature and purpose of the visit, and inform the appropriate member of the Team
  • File and maintain records as directed
  • Transmit information or documents to customers, using a computer, mail, or facsimile machine.
  • Schedule appointments, and maintain and update company-wide appointment calendar.
  • Provide information about the Company such as the location, and opening hours.
  • Keep a current record of staff members' whereabouts and availability.
  • Collect, sort, date stamp, and distribute mail, messages, and courier deliveries to the proper department..
  • Maintain supplies.
  • Perform minor housekeeping duties such as straightening up the lobby, kitchen, and conference rooms, maintaining the emergency supply kit, taking care of plants.
  • Facilitate electronic communications for company officers as directed.
  • Handle shipment and coordination of sales/marketing tools for tradeshows.
  • Assist the Project Management team by creating and updating O&M Manuals and other documents.
  • Maintain spreadsheets for ISO compliance.
  • Order business cards and set up work spaces for new hires.
  • Update phone lists, calendars, employees birthdays, and anniversary lists and send out congratulatory emails.
  • Plan fun company events as directed by managers.

Requirements


POSITION QUALIFICATIONS


Must have at least mid-level skills with Microsoft software, including Outlook and Excel.

Education


Minimum - High School Graduate
