MBL Technologies is seeking an
Executive Assistant to join our team. The individual will be at the forefront of a large scale federal program supporting leadership with emerging technology initiatives. The Executive Assistant will organize and coordinate executive external relations and oversee special projects. The individual will collaborate with leadership to set expectations for deliverables, shape the product development, and ensure quality deliverables. The ideal candidate will be creative and thrive in a large matrix environment that is mission driven, results driven, and community orientated.
This position offers a hybrid work environment but requires proximity to Washington DC for occasional on-site needs.
Key Responsibilities:
- Complete a broad variety of administrative tasks for leadership including managing an extremely active calendar of appointments; composing and preparing correspondence that is sometimes confidential; arranging complex and detailed travel plans, itineraries, and agendas; and compiling documents for travel-related meetings.
- Schedule and attend meetings, capturing meeting notes and recording action items.
- Plan, coordinate, and ensure schedules and executive trackers are followed and respected.
- Work closely and effectively, ensuring leadership is informed of upcoming commitments and responsibilities.
- Provide leadership in building relationships crucial to the success of the organization and manage a variety of special projects for the Chief of Staff.
- Complete critical aspects of deliverables with a hands-on approach, including drafting acknowledgement letters, personal correspondence, and other tasks that facilitate the ability of leadership to effectively lead the company.
- Prioritize conflicting needs; handle matter expeditiously, proactively, and follow-through on projects to successful completion, often with deadline pressures.
- Adhere to compliance rules and regulations set in contract requirements regarding department and committee matters, including advanced distribution of materials before meetings in electronic/paper format.
- Lead and assist in the coordination of speaking engagements and communication efforts.
- Edit and complete first drafts for material and administrative items for both internal and external stakeholders.
- Maintain discretion and confidentiality in relationships with senior leaders.
Required Experience/Skills:
- Experience supporting C-Level Executives, preferably in a technical or healthcare industry.
- Experience working with internal and external communications and partnership development.
- Proficient in Microsoft Office (Outlook, Word, Excel, Power Point, and Teams).
- Proficient with Adobe Acrobat and various social media web platforms.
- Bachelor’s degree or equivalent work experience.
- Five years of professional work experience in Management Consulting.
- Strong communication skills, with experience working with both internal and external stakeholders.
- Active VA clearance preferred.
