We’re hitting records on an almost weekly basis. Now is an exciting time to join as we grow rapidly around the world! We're looking for a Workplace Coorinator to join the team. The Workplace Coordinator ensures smooth office operations (in Estonia and in other locatons as needed), supporting daily needs for on-site and remote employees, and maintaining a welcoming environment for all employees and visitors.
Your main responsibilities are:
- Reception and Visitor Management
- Greet and register visitors, ensuring proper check-in
- Handle deliveries and shipping, notifying employees of arrivals
- Manage office parking permits and assist with visitor logistics
- Assist with company mailbox and mail distribution
- Administrative and Employee Support
- Provide general support with office equipment (e.g., printers, coffee machines)
- Assign key fobs and access for new employees, assist with access issues
- Organize flowers or gifts for special occasions on an ad hoc basis
- Assist with on/off-boarding, including access setup and welcome packs
- Supplies and Inventory Management
- Order and maintain inventory of office supplies, snacks, and essentials
- Ensure the office is well-stocked and organized for employees’ needs
- Coordination and Escalation
- Resolve day-to-day issues and escalate complex matters to the Workplace Manager
- Provide coverage and continuity for the Workplace Manager during absences

- Excellent verbal and written Estonian and English (Estonian language is mandatory!)
- Being very organised, detail oriented person
