We are currently looking for a Document Specialist to join our team!Reporting to AVP, Document Management, this position processes loan documents, ensuring accuracy, completeness, and compliance with established procedures.
The role collaborates with internal teams to organize, catalog, and maintain documents, contributing to efficient workflows and timely retrieval when needed. This position requires a high attention to detail to verify the accuracy of information, and research document-related inquiries. This position requires a strong understanding of document management practices, a keen eye for detail, effective communication skills and the ability to work effectively in a collaborative environment. The Document Specialist is expected to contribute toward identifying and recommending process improvements with the goal to positively impact document management operations.
What you will do for Fay Servicing:
- Research the chain of titles to identify any deficiencies in the assignment chain and offer solutions to cure
- Develop and maintain relationships with attorney firms, vendors,s and/or investors to ensure the timely completion of assignment chains
- Communicate effectively and in a professional manner with internal and external business partners, i.e. attorney firms, vendors, and/or investors, to effectively convey information and resolve issues
- Monitor and ensure accuracy during the drafting, execution,,n and recording of assignments
- Provide detailed notes and status updates in systems of record to maintain a fluid record of events
- Upload and index documents in digital imaging systems and client sites
- Respond to all correspondence, requests, and communications regarding assigned files in a timely and professional manner
- Ensure time frames and deadlines are met by monitoring Foreclosure and Bankruptcy milestones
- Assist with training new team members as assigned
- Develop domain knowledge of Fay’s business to include an understanding of department goals and company objectives
- Ensure compliance with Fay’s policies, processes, practices, and regulatory requirements
- Successfully complete all department and company-required training
- Model ethical standards, professionalism, and code of conduct
- Demonstrate behaviors that align with Fay's Values and Operating Principles
- Perform other duties and responsibilities as assigned
What you will bring to Fay Servicing:
- Bachelor’s degree in Business or related field (or equivalent combination of years of experience with High School diploma/ GED) required
- 1+ years' experience in mortgage document management roles required
- 1+ years' experience in mortgage servicing required
- Previous experience working in a fast-paced work environment
- Strong customer service skills
- Working knowledge of Microsoft Office products (Excel, Word, and Power Point)
- Strong verbal and written communication skills
- Strong interpersonal skills
- Demonstrated analytical skills and problem-solving abilities
