They will undertake administrative tasks, ensuring the rest of the staff has adequate support to work efficiently. The ideal candidate will be competent in prioritizing and working with little supervision. They will be self-motivated and trustworthy. The operations administrator ensures smooth running of our company’s facilities and contributes in driving sustainable growth.
Requirements
- Proven experience as an operations administrator, office assistant, facilities manager or relevant role
- Outstanding communication and interpersonal abilities
- Excellent organizational and leadership skills
- Familiarity with operations management procedures and basic accounting principles
- Excellent knowledge of MS Office and operations management software (ERP)
- Qualifications in secretarial studies will be an advantage
- High school diploma; BSc/BA in office administration or relevant field is preferred
- Sales ERP experience
Key Responsibilities
- Welcome visitors and enforce visitor policies (sign in, escort, visitor requests, etc.)
- Arranging events (Lunches, etc.)
- Ensuring mail is being forwarded appropriately
- Interfacing and scheduling for facilities support (Property manager, janitorial, repair/maintenance, security, lab support etc.)
- Ordering office supplies
- Coordination with other office managers across five locations on enterprise tasks
- Some Operations related data entry (coordinating with Operations staff)
- Schedule and attend meetings – publish minutes and action items of meetings
- Flexible team player, willing to adapt to changes and unafraid of challenges
- Ability to maintain confidentiality of information related to the company and its employees
- Ability to manage customer PO's
