Corporate Events Manager
Responsible for planning and executing company events consistent with our brand and objectives. Acts in a project management capacity for strategic initiatives and planning; secondarily, responsible for administrative support for the Chief Operating Officer.This position is located at our main office in Baltimore. Hybrid schedules available requiring at least 3 days in the office.
Responsibilities:
Event PlanningPlans, organizes, and executes company events, meetings, and conferences.Drives the creative process to develop a vision for company events and directs the development of event content (including agenda) to support the vision for the company event.Develops a project plan, timeline and budget for each company event.Determines a project team to work on events and establishes weekly meetings to review progress on event planning.Vets, selects, and contracts with outside speakers, consultants and trainers for company events or delegates to members of project team members.Manages event logistics including but not necessarily limited to: venue selections, catering, hotel, and transportation or delegates to member of project team member.Manages guest list RSVP and communications or delegates to project team members.Determines A/V, stage set-up, run of show and marketing support required working with internal resources and/or external vendors to ensure event show runs smoothly.Determines, orders, and distributes gifts for attendees or delegates to project team members.Project ManagementAssists in the planning and execution of strategic projects and initiatives.Tracks project progress and ensure timely completion of deliverables.Facilitates communication and coordination among team members.Graphic DesignCreates visually appealing materials for events and presentation purposes.Designs invitations, flyers, and promotional materials.Collaborates with marketing team and external parties to ensure brand consistency.Executive SupportWorks closely with the COO on some non-event-related projects that make use of some of candidate’s software and graphics skills.Education & Work Experience:
- B.S. in Business Administration, Communications or similar field a plus but not required.
- Requires prior event planning experience planning multi-day events for groups as large as one hundred to one hundred and fifty people, averaging eighty people.
Skills & Abilities:
- Detail-oriented with a high level of accuracy and quality of work required.
- Proficiency in Microsoft Office suite (Word, Excel, PowerPoint, etc.) required.
- Some graphic design software experience (e.g., Adobe Creative Suite or similar) preferred.
- Excellent written and verbal communication skills required.
- Ability to manage confidential information with discretion.
- Ability to work independently and as part of a team.
- Requires professional telephone etiquette and good people skills.
- Strong organizational and time-management skills required.
- Requires proficiency in negotiation and vendor management.
- Must have a valid and current driver’s license and a reliable means of transportation to perform tasks that require driving such as site visits or making deliveries or pick-ups.
- Must be dependable and reliable.
