Position Summary


The Marketing and Communications Program Manager is a senior member of the Marketing and Communications team, responsible for planning, executing, and optimizing enterprise-level integrated marketing and communication programs that align with organizational goals and drive engagement with target audiences. This role oversees team processes, manages work management platforms such as Asana and the Optimizely Content Management Platform, drives data and analytics functions, facilitates project progress, coordinates cross-functional collaboration, and successfully delivers impactful campaigns.

The Program Manager is also responsible for leading and coaching junior team members, fostering their growth and development, and contributing to a high-performing team culture.

Enterprise Program and Project Management


  • Develop, implement, and oversee integrated marketing and communication programs for enterprise-level projects that align with organizational goals and brand strategy.
  • Collaborate with leadership and stakeholders to define program objectives, target audiences, and success metrics.
  • Manage project timelines, milestones, deliverables, and resources to ensure on-time and on-budget execution.
  • Facilitate project progress by running regular meetings such as stand-ups and check-ins to drive alignment and efficiency.
  • Serve as the primary point of contact for program-related communications, ensuring clarity and alignment among stakeholders.

Performance Management, Data and Analytics:


  • Conduct market research and analyze data to inform program strategies and measure outcomes.
  • Track and report on program performance using key metrics, providing insights and recommendations for continuous improvement.
  • Leverage analytics to assess the effectiveness of campaigns and adjust strategies as needed.

  • Leverage analytics platforms to identify trends, measure ROI, and provide actionable insights for continuous improvement.
  • Support the integration of data-driven decision-making into marketing strategies and project plans.

Team Leadership and Coaching:


  • Act as a senior member of the Marketing and Communications team, leading by example and providing strategic guidance.
  • Coach and mentor junior team members to support their professional development and performance improvement.
  • Foster a collaborative and inclusive team environment that encourages innovation and continuous learning.

Team Process Optimization and Coordination:


  • Optimize team workflows and processes to improve efficiency and ensure timely delivery of marketing and communication initiatives.
  • Oversee and mentor lower-level coordinators, providing guidance and ensuring alignment with project objectives.
  • Manage work management platforms such as Asana and the Optimizely Content Management Platform to streamline task tracking, collaboration, and content management.
  • Support resource management by tracking utilization, identifying gaps, and reallocating resources as needed.

Content and Messaging:


  • Ensure consistency of brand voice, tone, and messaging across all program elements and communication channels.
  • Partner with creative teams to develop compelling content and collateral that resonates with target audiences.

Collaboration and Coordination:


  • Work closely with internal teams, including digital marketing, PR, design, and external vendors, to deliver cohesive programs.
  • Coordinate cross-functional efforts to ensure alignment with overall marketing and organizational priorities.

  • Performs other related duties as assigned.

Knowledge, Skills, and Abilities (KSA)


  • Knowledge of Wellby’s organizational functions and general operating policies and procedures.
  • Knowledge of secretarial practices and procedures, business English, spelling, and punctuation.
  • Knowledge of personal computers, utilizing Microsoft Office Suite and other software.
  • Knowledge of integrated marketing principles and communication strategies.
  • Knowledge of digital marketing trends, data-driven decision-making, and content marketing best practices.
  • Knowledge of financial products and services, including the unique challenges of marketing in the financial industry.
  • Skilled in operating computer equipment and general office machines such as personal computers, copiers, projection equipment, audio/video, Microsoft Teams, Zoom Video Communications, and adding machines.
  • Skilled in facilitation to lead team meetings and foster alignment.
  • Skilled in data and analytics tools, such as Google Analytics, Tableau, or Power BI.
  • Skilled in leadership and coaching with a focus on team development and performance.
  • Ability to communicate clearly and concisely, orally and in writing.
  • Ability to efficiently understand and follow oral and written instructions, perform routine duties without close supervision, and establish and maintain effective working relationships with other team members.
  • Ability to coordinate several concurrent activities simultaneously.
  • Ability to collaborate effectively with diverse teams.
  • Ability to exercise independent judgment.

Supervisory Responsibilities


  • The team member does not have supervisory responsibilities.

Complexity & Scope of Work


  • The team member will ensure policies, procedures, and programs are consistently administered, aligned with organizational goals, and compliant with professional standards.
  • The team member performs routine and generally related tasks without supervisory direction.
  • Tasks may occasionally have to be coordinated, integrated, and/or prioritized.
  • Courses of action are determined by established procedures and/or the Vice President of Marketing & Communications.
  • The team member’s work is reviewed periodically for accuracy, completion, and compliance with the policies and procedures.
  • The team member uses independent judgment in making decisions.

Physical Demands & Work Environment

  • To perform this job successfully, the team member is frequently required to remain in a stationary position 50% of the time. Daily movements include sitting, standing, reaching, and grasping; operating computers and other office equipment; moving about the office; and attending possible onsite and offsite meetings. 
  • The team member must be able to exchange information, in person, in writing, and via telephone. Some degree of stress results from contact with management and other team members.
  • The ability to observe details at close range (within a few feet of the observer).
  • Must be able to occasionally lift items weighing up to 25 pounds across the office and load them onto shelves for various needs.
  • The noise level in the work environment is usually moderate.
  • Work involves the typical risks and discomforts associated with an office environment but is usually in an adequately cooled, heated, lighted, and ventilated area.

Minimum Qualifications


  • Bachelor’s degree in marketing, communications, business administration, data analytics, or a related field is required.
  • Minimum of five (5) – seven (7) in marketing, communications, or program management, with a proven track record of delivering successful campaigns.
  • Experience with data analysis and reporting, including the use of analytics tools.
  • Experience leading and mentoring junior team members, with a focus on fostering growth and collaboration.
  • Experience working in or with a financial institution is highly preferred, including familiarity with marketing in regulated environments.
