This role involves logistical support, vendor coordination, and hands-on event execution. The ideal candidate has strong organizational skills, a passion for event planning, and the ability to manage multiple projects simultaneously.​​Role and Responsibilities​

  • Planning and coordinating conferences and tradeshows, including securing venues, managing exhibitor requirements, and ensuring compliance with event specifications.
  • Handle logistics such as registration, shipping, booth setup, audiovisual requirements, and catering arrangements.
  • Communicate with vendors, sponsors, and exhibitors to manage event needs and deadlines.
  • Track and manage event budgets to ensure all expenses align with financial goals.
  • Support the preparation and distribution of marketing materials and promotional campaigns.
  • Help plan and execute the logistics of Sales & Marketing Team internal events, including staff meetings, training sessions, and team-building activities.
  • Maintain event calendars, timelines, and checklists to ensure smooth operations.
  • Prepare and distribute pre-event and on-site materials such as attendee lists, badges, and agendas.
  • Assist in on-site event setup, execution, and teardown when required.
  • Gather post-event feedback from attendees, stakeholders, and team members to identify areas for improvement.
  • Stay up to date on industry trends and best practices in conference and tradeshow management.
  • Follow standard operating procedures; provide feedback on procedures for process improvement.
  • Assist team with problem resolution.
  • Travel up to 20% of your time.

Required Qualification & Education 

  • 0-2 years Marketing experience 
  • Strong documentation, presentation, and communication skills
  • University Degree
  • Mexican Passport and US Travel Visa

Required Skills & Competencies 

  • Excellent organizational skills with the ability to handle multiple projects and deadlines.
  • Strong communication and interpersonal skills to build relationships with vendors, clients, and team members.
  • Outstanding written and verbal communication skills, as well as perfect grammar and command of the English language.

Required Software Knowledge 

  • Expertise in standard MS Office and Adobe PDF toolsets.

Preferred Experience 

  • Previous experience or internships in event coordination, preferably with a focus on conferences, tradeshows, or corporate events.
  • Basic knowledge of exhibitor requirements, floor plans, or tradeshow logistics.
  • Experience in the green energy or utilities domain.
  • Experience with a U.S. based company.

Physical requirements 

  • Willingness and ability to travel.
