About You
We are seeking a highly skilled Senior Payroll Specialist to join our dynamic and collaborative team. This role requires extensive experience with ADP WorkforceNow and involves overseeing payroll processing for approximately 400+ US employees, both salaried and hourly. The ideal candidate will ensure accurate, compliant, and timely payroll processing, effective timesheet management, and prompt responses to employee inquiries while adhering to established payroll procedures.
What you’ll do and how you’ll have an impact
- Perform all pre and post-processing payroll tasks to ensure accurate and timely semi-monthly payroll for US employees;
- Handle state SUI (State Unemployment Insurance) and SIT (State Income Tax) requests and notifications, and take prompt action as needed;
- Collaborate with People Operations to capture employee changes and resolve any inconsistencies affecting payroll accuracy;
- Work closely with managers and employees to ensure accurate timesheet inputs;
- Respond to payroll-related inquiries, ensuring a high level of employee satisfaction;
- Prepare payroll-related journal entries and support month-end close activities;
- Identify gaps in payroll processes and propose updates or improvements;
- Develop and update payroll processes and checklists as needed;
- Complete year-end reconciliations and the preparation and delivery of W-2s and other year-end forms/reports;
- Conduct audits of Group Retirement and Benefits, comparing ADP Payroll data with invoices to identify discrepancies;
- Assist with global monthly PTO reporting and other global payroll-related tasks;
- Manage off-cycle payroll runs, including ad-hoc, stock options, and year-end adjustments;
- Participate in special global projects, such as system implementations, mergers and acquisitions, process documentation, and system updates;
- Liaise with Federal and State governments regarding payroll accounts;
- Support various internal and external audits, both domestic and international;
- Process Canadian payroll and related tasks as needed (backup).
What we’re looking for
- A minimum of 5 years of end-to-end payroll processing experience for companies with 400+ employees in the US;
- Proven experience with US payroll processing;
- A college or university degree in accounting or a related field;
- PayrollOrg CPP designation;
- Experience in handling cases in ADP SmartCompliance;
- Proficiency in ADP WorkforceNow, Workday, and Microsoft Excel (including pivot tables and lookups), and PowerPoint;
- Experience with Canadian payroll processing is highly desirable;
- Bilingual proficiency in French and English is an asset.
