We are looking for passionate, hard working people to work collaboratively to create products that have real, measurable impact on patient engagement with the potential to transform the patient care industry.We are looking for an Executive Assistant to provide administrative support to our Chief Operating Officer and Customer Operations leaders. This individual will be responsible for managing schedules, communications, meetings, travel, expenses and other tasks that require attention to detail, discretion, and organizational skills.

With their close alignment to our Chief Operating Officer and Client Operations teams, the EA will  serve as a critical  liaison between senior leaders,  key Get Well customers and other important stakeholders.

Responsibilities:


Calendar and Schedule Management:

  • Manage and maintain executive calendars, schedule meetings, and arrange appointments.
  • Coordinate internal and external appointments and travel schedules.
  • Prioritize and manage conflicting priorities to ensure deadlines are met.

Communication:

  • As needed, assist with screening phone calls, emails, and other correspondence.
  • Draft, proofread, and send communications on behalf of executives.
  • Liaise with customers, stakeholders, and internal teams as needed.

Meeting and Event Coordination:

  • Organize and coordinate meetings, conferences, and events (virtual and in-person).
  • Prepare agendas, take minutes, and track action items.
  • Ensure all meeting materials, presentations, and resources are prepared in advance.

Travel Arrangements:

  • Plan and coordinate travel (flights, hotels, transportation, etc.) for executives and team members.
  • Ensure travel itineraries are organized and cost-effective.
  • Handle any necessary changes to travel arrangements as they arise.

Document Management:

  • Organize and maintain filing systems, both digital and physical.
  • Prepare and manage reports, presentations, and documents.
  • Ensure confidentiality of sensitive information.

Project Support:

  • Assist in coordinating and tracking various projects or initiatives.
  • Help in the preparation of project plans and timelines.
  • Assist with research, data collection, and analysis for projects or reports.

Expense Management:

  • Process expense reports and manage budgets for the executive’s office.
  • Ensure compliance with company policies for expenses.

Special Projects:

  • Handle specific ad-hoc tasks or projects as requested by the executive team.
  • Provide administrative support for company initiatives, presentations, or public events.

Relationship Management:

  • Cultivate relationships with key stakeholders, clients, and vendors.
  • Act as a gatekeeper and point of contact for executives.

Requirements:


  • Bachelor’s degree or equivalent work experience.
  • Minimum 3-5 years of experience in an administrative support or executive assistant role.
  • Proficiency in Google Workspace and Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
  • Proficiency with Zoom, Google Hangouts, Microsoft Teams and other virtual meeting platforms
  • Excellent written and verbal communication skills.
  • Strong organizational skills, with the ability to manage multiple tasks and deadlines.
  • High attention to detail and accuracy in work.
  • Ability to think critically and solve problems independently.
  • Ability to handle sensitive and confidential information with discretion.
  • Able to work in a fast-paced environment and manage changing priorities.
  • Adhere to all organizational information security policies and protect all sensitive information including but not limited to ePHI and PHI in accordance with organizational policy and Federal, State, and local regulations.

The estimated pay range for this position is $65,000 - $95,000  in base salary. Base salary is dependent on many factors including, but not limited to education, experience and skills.
