We design, we engineer, we plan, we produce, we build and we expertly execute. We have worked all over the United States completing thousands of projects in the field of creative multimedia shows for clients such as Rihanna, Jay Z, Tiesto, Lady Gaga, American Idol, America’s Got Talent and multiple professional sports franchises in the NFL, NBA and NHL. We have also created permanent and temporary interactive installations for world class venues including the Staples Center, The John F.

Kennedy Center for the Performing Arts, The Smithsonian Institutions and Walt Disney World. The Project Operations department is at the core of our business and at the center of every project. The Project Operations team communicate what the client is asking for to internal design, technical and engineering teams. Internally, the Project team is responsible for translating needs, roadblocks, and solutions between our various departments to keep projects on track with their respective timelines and budgets. Project Coordinators work as part of our fast-paced and detail-oriented team to deliver innovative designs and solutions for our clients. This person will be expected to support Project Managers and Senior Project Managers in all aspects of the project lifecycle. Projects will range from major sporting events, concert tours, large one-off spectaculars, special effect entertainment, corporate events and permanent installation/ integration projects. Creative problem solving, a desire to learn about emerging technologies and a can do attitude is a must to be successful in this role. Specifically, Project Coordinators are responsible for assisting to ensure that design, pre-production, project execution and post-production run smoothly.

Project Coordinators also will work with external vendors, crews and the end clients to ensure overall success of the project. 

Responsibilities


Project Management

  • Assist Project Managers in all administrative and pre-production tasks including but not limited to:
  • Contract and purchase order creation 
  • Update and manage production briefs, production schedules, logistics sheets and equipment requests
  • Assist with budget tracking and reconciliation 
  • Request team travel and accommodations
  • Draft and update client invoice request and vendor invoice approvals

  • Assist Project Managers with proposal creation and updates
  • Assist with research for vendors in regional markets, request/ compare vendor quotes and issues purchase orders as necessary
  • Work with Project Managers to understand project crew requirements
  • Input crew scheduling in company scheduling platform
  • Confirm and coordinate project freelance/ contract staff
  • Assist Project Managers with facilitation of project communication across design, compliance, engineering and warehouse departments including, but is not limited to: updating project data/ information in project management software

Requirements

  • Associates Degree or work equivalent 
  • Motivation as a self-starter to manage own workload, self-direction and problem solve without constant oversight
  • Strong organizational skills. 
  • Attention to detail and multi-tasking skills 
  • Ability to perform in high-stress and fast-paced environment
  • High emotional intelligence quotient utilized to communicate differently and effectively with clients, internal team members, contract employees and external vendors
  • Computer Skills: Mac OS, Microsoft Office Suite- especially Microsoft Word, Excel and PowerPoint
  • Experience in event planning, event production, live sport gameday production or theater a plus

Salary Description$45,000 - $60,000 per year
