We are looking for a highly organized and proactive Administrative Business Partner to support our Executive Team and keep our Marina facility running smoothly. In this role, you will handle a mix of facilities management, event coordination, and administrative support to ensure everything operates efficiently and effectively. Essential Duties & Responsibilities
- Facilities Management & Day-to-Day Operations
- Conduct daily walkthroughs of the office to ensure the space is tidy, functional, and well-maintained.
- Manage office and kitchen supply inventories, placing orders as needed and ensuring timely deliveries.
- Oversee office and kitchen equipment to make sure everything is in working order.
- Act as the point of contact for maintenance and building issues, coordinating with Facilities and porters for timely resolutions.
- Handle incoming mail, packages, and deliveries efficiently.
- Greet and assist visitors at the front desk, rotating schedule with other administrative coordinators.
- Maintain professionalism and confidentiality in all communications, acting as a trusted liaison for both internal and external stakeholders.
- Event and Logistics Coordination:
- Plan and execute events like Town Halls and employee engagement activities, managing catering, logistics, and vendor relationships.
- Support executive meetings and conferences by coordinating all necessary details to ensure success.
- Executive Support:
- Manage calendars for senior leaders, scheduling meetings, appointments, and travel while coordinating logistics and catering when needed.
- Complete expense reports for the executive team as needed
- Provide administrative support, including document preparation, data entry, and general office management.
- Step in as backup for the other administrative assistants, Chief of Staff to the CEO, and the Executive Assistant for scheduling, planning, and logistics as needed.
- Special Projects and Process Improvements:
- Assist with projects like contract and purchase order submissions, ensuring accuracy and timeliness.
- Identify opportunities to improve administrative processes and enhance efficiency in the workplace.
Requirements:
- At least 3 years of administrative or facilities-related experience.
- Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook).
- Strong organizational skills with the ability to manage multiple priorities independently.
- Attention to detail and problem-solving skills.
- Excellent written and verbal communication.
- Experience with contract management is a plus but not required.
