This position is located at our Indianapolis Office which is located at: 9229 Delegates Row, Suite 200, Indianapolis, IN 46240The Client Service Associate provides administrative support to Team Members and clients by performing a variety of complex duties in the areas of client service, financial planning, investment management, office administration and accounting, to support Financial Advisors and Financial Planners in serving clients by providing the highest quality client service. Reports To: Manager of People Operations or Financial Advisor

Principal Accountabilities:


1. Initiates and monitors administrative details to serve team and clients with excellence, which include but are not limited to:

  • Manages all procedures and follow-up necessary to service investment accounts. Prepares requested client, branch, or investment reports and spreadsheets in a timely manner.
  • Composes or transcribes routine correspondence and emails with speed and accuracy and in keeping with the highest business standards.
  • Processes quarterly billing and reporting in a timely and accurate manner.
  • Manages expense reporting process in a manner consistent with Finance procedures.

2. Works with Manager and team to initiate and organize meetings and respond to client inquiries regarding actions taken to accomplish goals.3. Provides administrative support to the team in a manner consistent with service standards, including:

  • Maintains accurate electronic records and database of prospect and client information in accordance with compliance guidelines and regulations, through effective use of CRM and DMS systems for record maintenance and accuracy.
  • Gathers, records, and processes pertinent information from clients or financial institutions as needed. Answers incoming calls and emails in a professional manner, and actively builds efficiency and effectiveness in administrative and clerical tasks.

4. Responsible for all other duties as assigned by Managing Director, Operations Manager or Financial Advisor.  Requirements

Qualifications:


  • Organizes and expresses thoughts clearly and concisely in both speaking and writing
  • Demonstrated excellent computer literacy/skills and knowledge of specialized office programs, including strong proficiency within Microsoft Office products, specifically Microsoft Excel, Word, and Outlook
  • Adept at prioritization and proactive planning with ability to complete multiple time-sensitive tasks. 
  • Exhibits personal integrity and ability to discreetly handle confidential data
  • Possesses aptitude and passion for learning new things quickly with a strong work ethic in an ever-changing environment
  • Capability to excel in a team environment as well as working independently
  • Desire to serve clients and co-workers with excellence
  • Proven strong technical and analytical skills
  • Strong business mathematical skills and keen attention to detail
  • Strong organizational skills and systems acumen

Education, Experience & Skills: 


  • Bachelor's degree 
  • 1-3 years' experience in a support role, administrative support, customer service, or similar
