Job Summary:
We are seeking a detail-oriented and proactive Accounts Payable Specialist to join our team. This position is responsible for ensuring the accurate and timely processing of invoices, maintaining vendor relationships, and supporting the overall efficiency of the Accounts Payable function.
Essential Duties and Responsibilities
Includes but is not limited to the following:
- Process material invoices using a 3-way PO match (invoice, purchase order, and packing slip), ensuring packing slips and Goods Receipt Numbers (GRNs) align with the invoice.
- Process service invoices by requesting approval, verifying General Ledger coding, and ensuring proper account classification.
- Prioritize invoices by due date while monitoring workflow to maintain an efficient and effective process.
- Address and resolve vendor inquiries and issues promptly.
- Maintain accurate vendor records, including W-9 forms and payment terms.
- Prepare and execute weekly payment runs accurately and on time.
- Reconcile vendor statements and resolve discrepancies efficiently.
- Collaborate with internal departments and vendors to address and resolve invoice or payment-related issues promptly.
- Ensure compliance with company policies, procedures, and relevant accounting standards.
- Assist with month-end close activities, including accruals and account reconciliations.
- Prepare and maintain reports and documentation related to accounts payable.
- Identify and implement process improvements to enhance efficiency and accuracy in accounts payable operations.
- Perform other duties as assigned.
Minimum Requirements
- Associate degree in Accounting, Finance, or a related field, or 3–4 years of direct experience in accounts payable or general accounting.
- Minimum of 2 years of accounting experience.
- Solid understanding of accounts payable processes and core accounting principles.
- Strong communication and interpersonal skills, with the ability to engage effectively with individuals at all organizational levels.
- Exceptional organizational skills and a keen eye for detail.
- Proficiency in Microsoft Office Suite, with a particular emphasis on Excel.
- Capability to work both independently and collaboratively in a dynamic, fast-paced environment.
