The ideal candidate is obsessed with client satisfaction, comfortable learning new technology, and thrives in a fast-paced, digital environment.In this role, you’ll coordinate project setup, schedule sessions, and manage key logistics, including recruiter and moderator assignments, automated notifications, and technical checks.
You’ll also serve as a key point of contact for clients, ensuring they receive timely support and clear guidance throughout the project lifecycle.Qualified candidates must be team-oriented, self-motivated, and accountable for maintaining high performance levels. Strong communication skills, adaptability, and problem-solving abilities are essential. - Respond promptly to client requests and inquiries.
- Coordinate schedules among clients, recruiters, moderators, and translators.
- Collaborate with recruiters to track the technical verification process for respondents, ensuring timely updates and the sending of invitation emails.
- Provide guidance to clients on suggested adjustments to improve project success.
- Document project details, update status reports, and track progress.
- Monitor project costs and submit invoices to accounting.
- Work closely with a team of project coordinators and support staff to ensure seamless project execution.
A Project Coordinator plays a critical role in supporting clients through the setup and execution of their research projects. This involves managing communication, ensuring platform setup, and overseeing project completion. The typical workflow includes:
Upon receiving an approved project, the Project Coordinator clarifies requirements with the client, often through a kickoff call.Assists in configuring interviews on the Discuss.io platform and collaborates with recruiters to manage respondent invitations and technical verification updates.If moderation or translation services are required, the Project Coordinator assigns suitable partners, confirms their availability, and shares relevant details.Monitors respondent participation, client training needs, and any follow-up questions before interviews take place.Ensures that moderators, respondents, and all necessary participants are prepared and on time for their scheduled sessions.Proactively escalates and resolves any challenges that arise during project execution to maintain a smooth client experience.What You’ve Done Before:
- 2+ years experience with technology and platforms
- Capable of handling a large number of concurrent projects (15+ a month)
- Comfortable learning new software
- Able to work with multiple software
- Extremely thorough and detail oriented
- Fast learner and able to handle constant change
- Excellent customer service
- Reliable broadband internet connection
- Strong work ethic
