About the Role:

As a Payroll Specialist,  you will be responsible for all aspects of India payroll operations and processing, ensuring accurate and timely payment to employees while maintaining compliance with all applicable laws and regulations. You will also play a key role in managing various HR compliance matters, including but not limited to PF, ESI, TDS, and other statutory filings. 

Roles and Responsibilities:


  • Payroll Processing & Compliance
  • Oversee end-to-end payroll operations, including off-cycle payments, ensuring compliance with local and state laws.
  • Gather attendance data from various sources, such as Sapling(HRMS), biometric systems, reviewing attendance records for any discrepancies, errors, or inconsistencies including validation with supervisor approvals.
  • Administer statutory benefits (e.g., National Pension Scheme(NPS), FBP) and other regulatory requirements.
  • Reconcile payroll accounts and ensure timely, accurate tax, benefits, and labor compliance remittances.
  • Ensure compliance with all applicable Indian labor laws, including PF, ESI, TDS, and other statutory regulations.
  • Partner with a compliance vendor to prepare and file statutory returns (e.g., PF, ESI, TDS, PT, LWA) with relevant authorities.
  • Conduct regular audits to ensure compliance with all relevant laws and regulations.
  • Employee Data & Attendance Tracking
  • Maintain accurate employee records related to attendance, overtime, sick leave, vacation time and other leave of absence  for precise payroll calculations.
  • Ensure compliance with all applicable labor laws and regulations related to employee time and attendance, such as overtime laws and minimum wage requirements.
  • Conduct regular audits to ensure the integrity of employee records and payroll systems.
  • Employee Service & Support
  • Address payroll-related inquiries and resolve issues promptly.
  • Act as the point of contact for escalations, providing solutions to urgent payroll discrepancies.
  • System Expertise & Process Optimization
  • Use HR and Payroll systems (ADP WorkforceNow, Sapling, GreytHR) for payroll execution and reporting. 
  • Identify and implement automation and process improvements to enhance accuracy and efficiency.
  • Collaboration & Reporting
  • Collaborate with HR and finance teams on onboarding, offboarding, salary benchmarking, and benefits integration.
  • Generate payroll reports and provide insights on trends, costs, and compliance.
  • Training & Documentation
  • Develop and maintain payroll documentation, including manuals and compliance guidelines.
  • Train internal stakeholders on payroll systems and labor law updates.
  • Staying Current
  • Continuously update knowledge of evolving labor laws, tax regulations, and statutory requirements in India.

Qualifications and Skills:


  • Experience: 6-10 years of proven experience in payroll processing and compliance, ideally within Karnataka or other Indian states.
  • Education: Bachelor’s degree in Finance, Accounting, HR, or a related field preferred.
  • Technical Skills:
  • Proficiency in Microsoft Excel, Google Sheets, and Gmail.
  • Hands-on experience with HR systems like ADP WorkforceNow (or similar) is highly desirable.
  • Soft Skills:
  • Strong problem-solving skills with excellent attention to detail.
  • Ability to manage multiple priorities under tight deadlines.
  • Exceptional communication and interpersonal skills to collaborate effectively with stakeholders and support employees.
